The Receptionist will be responsible for answering incoming calls, directing calls to appropriate departments and ordering office supplies and materials as well as additional assigned duties.


  • Answers telephones and directs the caller to the appropriate associate. Will transfer a caller to an associate's voice mailbox when the associate is unavailable.

  • Enters billing information into system, insures accuracy.

  • Complete paperwork for the billing process.

  • Can effectively promote the products and services that we have to offer the client.

  • Develop and maintain a positive relationship with all clients including Follow up with customers to gauge satisfaction.

  • Provides callers with information such as company address, directions to the company location, company fax numbers, company website, and other related information.

  • Received, sorts and forwards incoming mail. Maintains and routes publications.

  • Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)

  • Assists in the ordering, receiving, stocking and distribution of office supplies.

  • May also assist with other related clerical duties such as photocopying, faxing, filing and collating.

  • Scan-to-file of hard copy job following standard operating procedures.

  • Confers with other managers to coordinate activities of individual departments and branches.

  • Maintain a courteous and "can-do" attitude with internal and external customers

  • Communicate information from Corporate to departmental managers

  • Abide by all company rules and regulations, including those set forth in the Employee Handbook

  • Perform job duties in accordance with Vision and Mission Statements

  • Team oriented and flexible. Ability to organize and prioritize workflow and meet deadlines.

  • Assist in other departments when necessary or orders are slow.

  • Perform any other tasks, duties, or functions directed by the Production or Branch Manager.


  • High School diploma or equivalent

  • 6 months to 1 year of equivalent receptionist experience

  • Possess strong organizational skills

  • Excellent verbal, written, and exceptional interpersonal communication skills

This is a PRN position (as needed). Essential Functions/Accountabilities: * Creates and maintains an atmosphere of warmth, welcome and positive emphasis. Ensures guests/visitors abide by existing rules and reports suspicious persons/information to Security. * Answers multi-line telephone; determines nature of call and directs caller to appropriate individual or department. * Receives inquiries from staff, residents and guests and releases information in accordance with established policies and procedures. * Takes an active role as part of the administration team, helping with all administrative tasks when necessary. * These may include filing, copying, mailings, composing and typing confidential/medical material, formatting/ revising existing documents using the computer * Takes the initiative to think of new ideas and processes to help both residents and staff. * Assists residents as requested/needed; provides door/mailbox key, calls nurse, etc. Other Responsibilities: * Receives, sorts and distributes mail as directed. * Maintains POS, sells stamps, and copies to residents and staff based on facility needs. * Operates copier, postage machine, fax machine, laminating machine and cash drawer. Maintains and reports equipment malfunctions to supervisor or places service call as required. * Attends educational and on-the-job training classes as required. * Completes other administrative duties as assigned. * Must be available every other weekend and some evenings. Minimum Qualifications: * Must possess, as a minimum, a high school diploma or equivalent. * Must have at least 1 year of professional experience. * Must possess excellent grammar and communication skills. * Must have knowledge of Word and Excel. * Must be able to read, write and understand the English language and speak it in an understandable manner. * Must be able to see and hear or use prosthetics that will enable these senses to function adequately to ensure that the essential functions of the position can be fully met. * Must be able to relate to and work with the ill, disabled, elderly, emotionally upset, and at times, hostile people within the facility. * Must be willing to work harmoniously with other personnel, as well as be willing to communicate with residents based at whatever behavior or acuity level they are currently functioning. * Must be able to move intermittently throughout the work day. * Must be able to cope with the mental and emotional stress of the position. * Must be able to lift up to 25 lbs on a regular basis and up to 50 lbs. occasionally. * Must not pose a direct threat to the health or safety of other individuals in the workplace. * Must be able to maintain regular attendance.
