The Receptionist will be responsible for answering incoming calls, directing calls to appropriate departments and ordering office supplies and materials as well as additional assigned duties.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
Answers telephones and directs the caller to the appropriate associate. Will transfer a caller to an associate's voice mailbox when the associate is unavailable.
Enters billing information into system, insures accuracy.
Complete paperwork for the billing process.
Can effectively promote the products and services that we have to offer the client.
Develop and maintain a positive relationship with all clients including Follow up with customers to gauge satisfaction.
Provides callers with information such as company address, directions to the company location, company fax numbers, company website, and other related information.
Received, sorts and forwards incoming mail. Maintains and routes publications.
Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)
Assists in the ordering, receiving, stocking and distribution of office supplies.
May also assist with other related clerical duties such as photocopying, faxing, filing and collating.
Scan-to-file of hard copy job following standard operating procedures.
Confers with other managers to coordinate activities of individual departments and branches.
Maintain a courteous and "can-do" attitude with internal and external customers
Communicate information from Corporate to departmental managers
Abide by all company rules and regulations, including those set forth in the Employee Handbook
Perform job duties in accordance with Vision and Mission Statements
Team oriented and flexible. Ability to organize and prioritize workflow and meet deadlines.
Assist in other departments when necessary or orders are slow.
Perform any other tasks, duties, or functions directed by the Production or Branch Manager.
EDUCATION AND EXPERIENCE
High School diploma or equivalent
6 months to 1 year of equivalent receptionist experience
Possess strong organizational skills
Excellent verbal, written, and exceptional interpersonal communication skills
