Performs a wide range of receptionist and administrative tasks including answering phones, greeting visitors, and providing general information about the organization to the public, guests, and other interested parties. Provides positive and professional impression.
Professionally administers all incoming calls.
Greets visitors in a professional, friendly manner and ensures they sign the visitor's logbook.
Issues visitor's badges and confirms they are escorted by a team member while in the building.
Ensures visitors are properly signed out and all badges are returned.
Retrieves and distributes Voicemail messages from the general mailbox.
Coordinates mail services including preparation of mail, notification of package arrivals and courier delivery activities.
Reviews files, records, and other documents to obtain information to respond to requests.
Maintains Auditorium Schedule in Outlook.
Maintains the lobby area to including cleanliness and organization.
Codes all invoices for the Facilities Department.
Maintains P&L ledger for the Office Manager.
Assists with special projects for various departments as assigned.
Contributes to safety team meetings and various building activities.
SKILLS & SPECIFICATIONS
Minimum one year of previous switchboard and guest receiving/customer facing experience is required.
Professional and courteous approach with comfort of interacting with people, even in potentially stressful situation.
Ability to communicate effectively in verbal and written format and demonstrate courtesy and tact when dealing with visitors.
Develop constructive and corporative working relationships with others and maintaining them over time.
Must be able to read documents, handle confidential information, perform detailed work, and multi-task.
Strong organizational skills to accomplish assigned work on a timely basis.
Utilize logic and reasoning to take pro-active problem-solving approach.
Must be PC literate and have basic skill levels with Microsoft Office (Word, Excel, and Outlook).

While performing the duties of this position, the incumbent will sit for long periods of time.
Must have good arm, hand, and finger dexterity and visual acuity for switchboard operations.
