Position Purpose: Performs receptionist duties and provide administrative support to the executive assistants.

Perform a variety of clerical or administrative work such as scheduling appointments, making travel arrangements, typing, filing, making copies, completing reports or presentations

Answer and direct incoming calls in a prompt, courteous manner

Acknowledge and monitor visitors/guests to ensure they are not waiting too long

Respond to guests' questions and needs to ensure they feel welcome

Assures that the reception area is neat and orderly

Professionally interact with executive team and assist with any task requests

Serve as back up for executive assistants in their absence

Assist supervisor with reviewing call trends and recommend improvements.

Education/Experience: High school diploma or equivalent and 2 years' previous receptionist, customer service or administrative assistance experience or Associate's degree.

Bachelor's degree in lieu of experience. Switchboard or customer relationship management system experience and proficiency in Microsoft Office products such as Outlook, Word, Excel and Powerpoint required. Must have strong interpersonal skills and the ability to multi-task or manage a multi-line switchboard in a prompt, courteous manner.

VIEW JOBS 1/13/2019 12:00:00 AM 2019-04-13T00:00 Description of Work The Administrative Assistant II will report directly to the Assistant Secretary of the Office of Procurement, Contracts and Grants (OPCG) and will be responsible for managing day-to-day administrative tasks for the Assistant Secretary and the Director of OPCG. The job responsibilities for this position include: * Scheduling meetings, managing the calendar, making photocopies and managing emails, as needed * Organizing and maintaining Assistant Secretary's and Director's files * Compiling, assimilating and organizing both printed and electronic information * Conveying information and ideas through a variety of media to individuals or groups * Providing back-up phone support in answering and directing phones calls when the primary Administrative Assistant is out of the office * Entering requisitions and receipts in E-Procurement (mainly OPCG office supplies/furniture, IT equipment, and maintenance agreements), when requested by Assistant Secretary and/or Director * Using office equipment and other relevant technology (software and systems) to meet organizational needs * Submitting building maintenance requests for the Assistant Secretary and/or Director * Logging bids that are received at the front counter when primary is out * Running reports, when required; and, other administrative duties as assigned * This position also works through multiple tasks simultaneously, manages time efficiently, and works with minimal supervision Salary Grade: GN07; Recruitment Range: $32,703 - $43,253 Position #60037748 About the DHHS Office of Procurement, Contracts, and Grants The Procurement, Contracts and Grants unit manages the Department's contracting activities to support a wide range of health and social services provided to the people of North Carolina. The Office of Procurement, Contracts and Grants (OPCG) provides training, guidance, research, compliance reviews, reporting, and operational assistance to all of the DHHS divisions, offices, and healthcare facilities so that their financial and program capacities are maximized through effective procurement and contracting.
