Reception Supervisor

The Reception Supervisor is responsible for all reception services at our Westbrook Campus. This includes supervision of the Receptionist at our Administrative Building, serving as Receptionist at the Training & Resource Center, and coordination of reception coverage at both locations as needed. In addition, the Reception Supervisor administers the agency cell phone program, oversees office supply ordering and fulfillment, managing the room reservation calendar and maintaining the security and professional appearance of the Training & Resource Center.

Pay: $18.00 to $20.00 hourly

Schedule:

  • Monday - Friday: between 7:45am to 4:15pm

  • Full-time; 40 hours weekly

Role of Reception Supervisor:

  • Greet and direct visitors to Training & Resource Center in a pleasant, helpful and professional manner.

  • Admit visitors to the Training & Resource Center in accordance with security protocol.

  • Provide required logbooks/sign-in sheets for the arrival and departure of employees and visitors, and ensure that all sign in and out of the building. Direct all employees and visitors to specific rooms/areas for trainings and meetings.

  • Schedule room reservations for meeting and training spaces in Administrative Building and Training & Resource Center.

  • Update video display daily to reflect scheduled events and meetings.

  • Support fire alarm/drill procedures.

  • Provide oversight, supervision and coverage coordination to Receptionist staff at Administrative Building, to include contracting with temporary employment agency when needed.

  • Oversee ordering /purchasing of office supplies and cell phones for agency while maintaining strong vendor relations.

  • Maintain the professional appearance of all common-use spaces of the Training & Resource Center.

  • Serve on the Woodfords Emergency Action Team (EAT), represent Reception on the Emergency Action Team Committee, attend monthly meetings and prepare meeting minutes.

  • Update Training & Resource Center copy of Woodfords Operations Manual

Qualifications of Reception Supervisor:

  • Associate Degree or comparable experience.

  • Must be proficient in MS Office

  • Must be organized and detail-oriented.

  • Must have excellent interpersonal skills.

  • Must possess appropriate communication skills, both in person and on the telephone.

  • Must be familiar with office procedures and equipment use.
