Job Summary

The Receiving Team Lead works directly with the Receiving Manager to lead the Receiving team during their scheduled shifts. This includes, but is not limited to: directing the work of Receivers and Receiver/Store Assistant, organizing the dock, ensuring quality control of the entire receiving process, including correct processing of all special orders, all invoices are balanced and distributed, and that all other daily receiving procedures are followed and completed. The Receiving Team Lead serves City Market in a leadership position in the absence of the Receiving Manager.

General Accountability

Reporting to the Receiving Manager, the Receiving Team Lead is responsible for providing the highest level of service possible to our customers, vendors, co-workers and community. This position is also required to maintain the highest standards of professionalism and contribute towards a positive work environment that requires the highest standard of personal conduct.

Supervisory Responsibilities

None.

Essential Duties and Responsibilities

Receiving

  • Assigns tasks to Receivers and Receiver/Store Assistant.

  • Assists in coordinating and monitoring the data being input or altered in the POS system.

  • Directs the smooth flow of product onto and off of the receiving dock.

  • Enforces and oversees the correct application of Receiving Policies and Procedures.

  • Responsible for the smooth operation of the Receiving department in the absence of the Receiving Manager.

  • Assists with on-the-job training including, but not limited to, initial training of new Receiving employees.

  • Monitors Receiving accuracy and communicates issues to the Receiving Manager.

  • Communicates all pertinent information to the Receiving Manager or in their absence, Buyer, Department Manager, Director of Operations or Store Manager.

  • Processes all invoices daily and route invoices to appropriate department.

  • Helps with unloading as needed.

  • Checks deliveries to verify piece count, endure that vendor alters invoice accordingly, or that credit is requested.

  • Checks products for damage and/or unacceptable quality.

  • Identify mathematical or pricing discrepancies on invoices and ensure the vendor makes the appropriate corrections.

  • Updates, corrects, or creates cost record in the POS system.

  • Requests and processes credits with vendors and distributors.

  • Reports price discrepancies to Receiving Manager.

  • Helps coordinate department effectively. Communicates departmental needs with Receiving Manager on a regular basis. This may include staffing levels, production levels, supply needs and personnel issues. Acts as a liaison with staff to department heads. Communicates personnel or operational situations to the Receiving Manager in a timely manner. Schedules and monitors break schedule.

Customer Service

  • Fosters and maintain friendly, respectful, and professional vendor relations.

  • Directs any vendor issues or concerns to the Receiving Manager and/or to the appropriate Buyer or Department Manager.

  • Provides courteous, respectful customer service whenever needed.

  • Promotes outstanding internal customer service to ensure approachability and smooth working relations with all departments.

Department Maintenance

  • Maintains all work areas in a clean and orderly condition. Report all equipment repair and area maintenance needs to the Receiving Manager.

  • Adheres to policies as outlined in the City Markets Employee Guide and Collective Bargaining Agreement.

  • Is proactive with regard to creative self-learning and professional development. Attend all required meetings, trainings, seminars and workshops.

  • Follows all department policies and procedures in order for City Market to adhere to all State, Federal and OSHA regulations.

  • Supports the Co-ops Global Ends, Co-op Principles and Diversity Statement

  • Perform other duties as assigned.

Knowledge

Education

  • High School Diploma or GED equivalent.

Experience

  • Must have general grocery store, retail, manufacturing, receiving or related experience.

  • One year applicable experience in a related field such as receiving, freight delivery or inventory control, required.

  • Knowledge of natural and conventional foods and the food industry preferred.

Skills

Language Skills

  • Ability to speak/understand English language and read/comprehend simple instructions, as well as product/pricing information.

Technical Skills

  • Solid understanding of Microsoft Office Suite with an emphasis on Microsoft Excel.

  • Solid understanding of Point of Sale software and scanning devices.

  • Ability to add, subtract, multiply, and divide in all units of measure.

  • Ability to operate simple hand tools, and to operate/understand mechanical functions and equipment.

  • Working knowledge of industry-standard equipment preferred.

Communication

  • Must be articulate and demonstrate clear verbal and written communication skills, as well as genuine active listening skills. Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedural documents. Work closely with Facilities Manager to oversee all store physical plant needs, ensuring the highest standard of prompt, efficient and helpful service for all departments. Work with department managers in assuring that each departments equipment and mechanical needs are met. Responsible for assisting Facilities Manager with purchasing supplies related to department needs, maintaining cleanliness and order around City Market. Follow routine maintenance program to ensure the highest standards are met and the physical plant is running smoothly, safely and efficiently. Lead the Facilities team in the absence of the Facilities Manager. General Accountability Reporting to the Facilities Manager, the Facilities Team Lead is responsible for providing the highest level of service possible to our customers, vendors, co-workers and community. Essential Duties and Responsibilities Custodial * Maintain all work areas within and surrounding City Market premises in a clean and orderly condition. * Ensure that store cleanliness meets or exceeds state and federal guidelines and standards. * Responsible for assisting Facilities Manager in grounds maintenance, including snow removal, salting, landscape maintenance, parking lot signage, etc. * Assist and training facilities employees with parking lot safety and security. Assist with monitoring parking lot for unauthorized non-shopper parking. Assist with keeping shopping carts on the premises. * Conduct regular search and pick up for missing shopping carts. Maintenance * Maintain ongoing cleaning program for common areas of the store not covered by individual departments. This includes: hallways, stairwells, bathrooms, windows, etc. Assist individual departments in achieving cleanliness goals. * Responsible for regular store maintenance such as changing light bulbs and ventilation filters, greasing stocking carts and swinging doors, painting, light construction, wall repair and painting, moving office equipment, coordinating waste disposal, shoveling snow, etc. * Ensure that store equipment/systems are maintained and in good working order. Follow maintenance programs for all equipment and systems including HVAC, refrigeration, plumbing, electrical, and fire safety. * Responsible for coordinating waste disposal, including garbage, recycling, and pest control. * Maintain emergency supplies such as flashlights, tarps for coolers.
