General summary:

The Receiving Clerk is responsible for managing the receiving of Direct Store Deliveries (DSD) product; as well as managing the computer inventory management process. They act as part of the store management team and assists the Store Manager in the daily running of the store

when needed.

Major Duties and Responsibilities:

  • Consistently creates a welcoming environment for the customer by greeting and assisting; as well as quickly responding to customer inquiries and needs

  • Responsible for deliveries or pickups of product, including moving products within and outside of store

  • Follows all policies and procedures regarding receiving of merchandise, vendor involvement, and invoice processing

  • Assists in the execution of all Merchandise Calendars, campaigns, and

sales promotions

  • Ensure all pricing, signage, and display is correct at all times

  • Responsible for controlling inventory stock levels and reordering as

necessary within budget

  • Enforces all company policies and procedures, including health, safety,

and security

  • Manages and controls shrink

  • Demonstrates desired behaviors for staff including driving sales, handling

difficult and/or complicated sales, cash management, inventory, and

follow-up with customers

  • Assists Store Manager in providing a strong leadership presence and

control in store, while ensuring that all customers receive good service

and quality merchandise

  • Utilizes company tools to diagnose opportunities and develops action

plans to improve performance

  • Regularly communicates with Store Manager to discuss strengths,

opportunities, and trends in business

  • Maintains good working relationships with vendors

  • Provides direction, support, and ongoing feedback to staff

  • Leverages individual staff strengths, and creates developmental plans to

prepare all level positions for future growth within the organization

  • Ensures staff is trained and knowledgeable in both merchandise and


  • Ensures company standards are met for store and associate appearance

at all times

Under general supervision, performs a wide variety of general clerical duties of a confidential nature, with only occasional instruction or assistance; and performs other duties as assigned. DISTINGUISHING CHARACTERISTICS This classification is distinguished from the Office Assistant series by the confidential nature of the work and the frequent interaction with elected and appointed officials. This is the entry-level class in the Confidential Office Clerk series. Duties assigned require typing skills and previous confidential clerical experience. Incumbents work under immediate supervision while learning job tasks. Incumbents at level I are eligible for consideration of advancement to level II, after completion of one year in their current assignment, overall above acceptable performance in the full range of duties and recommendation of the department head. EXAMPLES OF DUTIES The following duties are typical of this classification and are intended only to describe the various types of work that may be performed, the level of technical complexity of the assignment(s), and are not intended to be an all-inclusive list of duties. Performs general clerical duties of a confidential nature; types, proofreads, and processes a variety of routine and non-routine documents including general correspondence, letters, memos, statistical charts from rough drafts, and various reports; provides clerical support for office staff; types from oral direction, rough drafts, copy, notes, or transcription machine; maintains appropriate records, logs, and files to facilitate day-to-day administrative operations; prepares accounts payable and purchase requisitions for review and approval for payment of debts; compiles limited research as needed; may assist with coordination of department activities and programs; responds to complaints and requests for information; inputs data into computer terminal; acts as a receptionist; screens calls and visitors; schedules appointments, assists public and employees in person, on the telephone and via e-mail as necessary, and responds to inquiries as appropriate, referring the more complex requests to the appropriate individual; provides direct service to the public as an information source for departmental information; performs a wide variety of general clerical work including filing, checking, and recording information on records and assists with central office filing, including records retention according to applicable records retention guidelines; sorts and files documents and records; maintains alphabetical, index, and cross-reference files; tracks and orders office supplies as needed; operates modern office equipment including a computer terminal; receives, sorts, and distributes incoming and outgoing correspondence and mail; prepares statistical reports; makes every reasonable effort to continually improve the manner in which the job is performed to increase the quality of service to the public; and performs other duties as assigned. MINIMUM QUALIFICATIONS Employment: Applicants must currently be employed by the City of Santa Maria. Education: High school graduation or General Education Diploma, supplemented by courses in typing and office practices. Experience: One year of confidential general office and clerical experience. Experience in dealing with the public and work in a public agency setting is desirable. OR any combination of education, training and/or work experience to demonstrate knowledge, skills, and abilities to meet the above minimum requirements. Knowledge of: Appropriate English usage in spelling, vocabulary, grammar, and punctuation; modern office methods, procedures, and equipment including computer systems, proficient in Microsoft Office Suite software for word processing, spreadsheets, presentations, calendaring, e-mail, and filing systems; and principles and practices of exemplary customer service.
