TITLE: RECEIVING CLERK

Department: Materials Management

Reports to: Purchasing Manager

Supervises: No one.

Job Summary:

Responsible for receiving all material delivered to the hospital by outside vendors (except dietary and pharmacy supplies). Fills and delivers all orders for stock supplies. Delivers all non-stock supply orders. Prepares outgoing packages for shipment and maintains proper documentation. Prepares packages to be sent out via the overnight delivery services.

Essential Functions:

  • Check plastic racks for department recurring requisitions.

  • Plastic racks are checked for recurring requisitions first thing in the morning and no less than 3 additional times during the day.

  • Fills and delivers department stock supply orders.

  • All department stock orders are to be delivered the same day unless the order is received after 2:00 p.m. For departmental stock orders received after 2:00 p.m., every effort will be made to deliver them the same day or during the first delivery run the following day.

  • Receives supplies from all vendors except those that are Dietary Department related.

  • Packing slips and/or delivery slips are signed within 15 minutes of the time the vendor's truck arrives at the loading/receiving area.

  • Receiving documents are printed and the supplies checked in against packing slips and receiving documents within 3 hours of the delivery time. If it will take longer to complete this process, the Purchasing Manager or Director should be notified of the delay.

  • The delivery note is printed for all non-stock supplies. Each delivery note will be initialed by the receiving department to verify receipt. The completed delivery note is attached to the packing slip for that purchase order.

  • All receiving documents are filed by date after completion of the paperwork for the day.

  • All discrepancies between the receiving document and the packing slips are pointed out to the appropriate buyer at the time the receiving document is turned in.

  • Supplies are to be put away in their proper location by the end of the workday.

  • The responsible buyer is to be notified of all deliveries of capital equipment as soon after delivery as possible.

  • All next-day air packages are either delivered, or the proper department notified of delivery, within 1 hours of receipt of goods.

  • Responsible for placing work orders for facilities personnel to assemble non-clinical items (e.g. carts, shelving, cabinets, etc.) when it is obvious that some assembly will be required.

  • Delivers non-stock supplies to the proper department within 1 hours of receipt of goods.

  • Maintains proper shelf location of stocked supplies in Materials Management computer system.

  • Shelf locations are changed in the computer within 1 day of any shelf location change.

  • Is responsible for calling for pick-up and the sending of all outgoing packages and maintains the proper records.

  • All outgoing packages are sent out during the same day as long as the package is delivered to the receiving area before the last call time of the various vendors.

  • Proper documentation is filled out at the time the package is sent.

  • Shipping invoices are verified and returned to Accounting within 1 day after receipt from Purchasing Manager or Director.

  • Takes inventory of stocked items when directed by the Purchasing Manager or Director.

  • An inventory of supplies is taken at least once a year or as needed upon the direction of the Purchasing Manager and Director.

  • An inventory of an item is taken when there is a discrepancy between the on-hand quantity in the computer and the shelf quantity.

  • A cycle count is completed of various stock items within day of the request from the Purchasing Manager or Director.

  • Is responsible for keeping the storeroom neat and organized. Must keep boxes off of the floor

and police the aisles daily to make sure there are no empty boxes on the shelves.

Additional Responsibilities:

Assists in the annual inventory of stocked items.

Assist Supply Aides when necessary.

The Purchasing Manager and/or Director may from time to time assign additional duties as needed within the department.

Qualifications:

High School Education

Excellent problem solving, mathematical, verbal and written communication skills. Must have exceptional phone etiquette skills.

Better than average attention to detail.

Proven ability to operate personal computer. Typing skills of at least 35 wpm.

Must possess a valid Wisconsin or Michigan drivers' license and a clean driving record.

Must pass a JPA prior to accepting the position.

Ability to operate a motorized forklift.

Ability to lift up to 50 lbs frequently

Prior experience in Materials Management or in a storeroom/warehouse required

Knowledge of medical supplies preferred

Working Conditions:

Potential exposure to Latex products, blood-borne pathogens, hazardous materials, and communicable diseases. Exposure to extreme weather conditions cold, rain, wind, heat and humidity.

The Blender / Fillers are responsible for blending and filling various types of foam and specialty chemical products according to prescribed procedures. This role assumes direct process responsibility for blending as well as insuring the performance of equipment including filling machines, material handling equipment and miscellaneous other tools are operating to the required specifications. The Blender / Filler follows' the workflow process and assists the supervisor or group leader to efficiently coordinate other personnel in the blending and filling operations. The Blender / Filler is required to assist Supervisors, Group leaders, Quality assurance, Material planning and Engineering personnel when requested or on their own. ENVIRONMENTAL, HEALTH, AND SAFETY OBLIGATIONS Comply with the following Environmental, Health and Safety duties as a condition of employment: * Comply with safety rules * Attend and Participate in Safety Training * Participate actively in the safety process * Ask questions if something isn't known * Report all accidents and injuries immediately * Submit suggestions to improve safety * Know responsibilities in the event of an emergency (i.e. what to do in the event of an alarm for fire, chemical spills, tornados, etc.) * Be a coach to others who are acting unsafely * Must have Lock-out / Tag out locks and follow all requirements. * Attend and participate in all hazardous and non-hazardous waste trainings. * Ability to recognize chemical hazardous labels. * Spill management and clean-up. * Capability to follow satellite accumulation rules and requirements. * Proficiency to recognize hazardous wastes in your area and manage properly. QUALIFICATIONS Must be 18 years of age and have a HS Diploma or equivalent. Required to obtain a JCI / Tyco industrial lift truck license. Must be able to work in temperature ranges from below zero to 100% F. Must be able to stand 100% of the time and perform tasks in difficult working positions. SPECIAL NOTE: Normal training period = 24 months DUTIES 1. Assists in guiding and directing others in the work process. 2. Directs the activities of a group of employees consisting of 6 or 7 people per shift working on specific projects. 3. Transfers chemical, some of which are acids, caustics and fungicides from storage tanks to blend tanks to make up blends according to prescribed formulations. Chemical containers used may weigh up to 2000lbs and must be handled safely with the use of forklifts, chain hoists / barrel dumpers or by hand. 4. Samples blends and records results, most testing done with pH / Refractometer. 5. Troubleshoots filling machines and checks performance. 6. Loads formulated bulk product into various containers, and coordinates shipping papers and trailers needed for shipments with the supervisor, group leader or planner to assure accuracy and on-time delivery. 7. Makes minor repairs to piping, pumps, valves, etc. 8. Keeps blending records and other required documentation current. Calculates ratios and inventory records. 9. Must understand the set-up and operation of weigh scales in production and filling operations. 10. Works closely with Quality Control Inspection/Engineering and Chemicals Lab personnel to assure proper product consistencies/quality and chemical usage. 11. Under the direction of the Supervisor or group leader coordinates workload/vacation scheduling to assure production and product deliveries are met. 12. Must be aware and responsible for abiding with Government contract specifications whenever Government work is performed. 13. Must use judgment and knowledge when receiving and storing incoming raw materials. 14. Assure safety equipment and policies are abided by. 15.
