RESPONSIBILITIES

Under moderate supervision, provides general administrative support for assigned staff. Assists with tenant and vendor customer service.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Performs a variety of administrative tasks for assigned staff including but not limited to phone support, draft, preparation and distribution of correspondence, expense reporting, calendar and scheduling, meeting coordination, filing and copying, etc.

Maintains tenant, vendor and property files, including insurance certificates, lease abstracts, etc. in accordance with prescribed standards.

Works with Building Technician staff and vendors to compile a list of maintenance items. May open work orders. Coordinates and monitors status of work assigned to vendors.

Prepares internal lease administration documents such as lease abstracts as directed. Assists in lease administration activities including lease set up, lease changes, reporting etc.

Codes invoices for payment, inputs into accounting system and forwards original invoices to accounting for payment. Prepare A/R status worksheets and reconcile A/R.

May initiate rent collections correspondence and phone contact with tenant where permitted by state regulations.

Performs other duties as assigned.

SUPERVISORY RESPONSIBILITIES

No formal supervisory responsibilities in this position.

May coordinate work and assign tasks.

EDUCATION and EXPERIENCE

High school diploma or general education degree (GED) and a minimum of three years of related experience and/or training.

Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence.

Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Ability to effectively present information to an internal department and/or large groups of employees.

FINANCIAL KNOWLEDGE

Requires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.

REASONING ABILITY

Ability to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations. Requires basic analytical skills.

OTHER SKILLS and ABILITIES

Intermediate skills with Microsoft Office Suite

Functional Responsibilities: * Relationship Management: * Support a CRE Portfolio Manager to build a client relationship/interface for specific assigned Business Line(s) * Develop a "Trusted Advisor" relationship with customer(s) as a Corporate Real Estate subject matter expert * Program Execution: * Effectively lead the outsourced service partner project delivery team by clearly communicating expectations, accountabilities and providing performance feedback for continuous improvement throughout project life cycle * Drive adherence to established CRE processes and standards * Manage approval process for all projects assigned * Escalate Risks on projects throughout life cycle of projects * Effectively lead team to deliver projects "on time" and "within budget" * Executive Reporting: * Maintain and update an executive level dashboard and concise project presentations on project performance throughout assigned portfolio * Portfolio Management: * Actively manage a project pipeline for the assigned business portfolio, ensuring timely initiations and achievement of milestones * Provide proactive and strategic opportunities to eliminate excess space throughout portfolio footprint * Capital Planning: * Effectively lead capital yearly forecast and project financial model/approval process for given portfolio * Identify opportunities and risks to ensure precision in delivery within defined target established in Program Platform Basic Qualifications * Bachelor's degree, or equivalent work experience * Eight to ten years of experience in project management activities Preferred Skills/Experience * Master's Degree preferred – Real Estate Development, Project Management, Architecture, Engineering, Construction Science and/or Finance * Six Sigma experience, training and/or certification * Commercial (Corporate) Real Estate, Transaction Management, or Project Management preferred * Strong leadership, interpersonal, relationship building and management skills * Strong understanding of real estate delivery process from requirement definition, to lease negotiations, to build out, to occupancy * Excellent communication skills with demonstrated ability to take complex analyses, summarize at an executive level and make a sound recommendation * Proficiency in applying financial principles to drive disciplined fact-based decisions * Proven ability to lead, manage and prioritize a large volume of key projects * Presentation skills, Microsoft Office * Experience working in a dynamic and matrix-oriented environment * Organizational and time management skills * Ability to work well in a demanding environment US Bank Minneapolis MN
