Under limited supervision, provides general administrative support for the Real Estate Management Team. Assists with tenant and vendor customer service.


Performs a variety of administrative tasks for assigned staff including but not limited to phone support, draft, preparation and distribution of correspondence, expense reporting, calendar and scheduling, meeting coordination, filing and copying, etc.

Maintains tenant, vendor and property files, including insurance certificates, lease abstracts, etc. in accordance with prescribed standards.

Works with Building Technician staff and vendors to compile a list of maintenance items. May open work orders. Coordinates and monitors status of work assigned to vendors.

Coordinates tenant events and appreciation. Assists with publication and distribution of tenant newsletter.

May initiate rent collections correspondence and phone contact with tenant where permitted by state regulations.

Assists with budget preparation by researching costs for supplies and services and obtaining bids as directed. Comply with bid process guidelines. Assists with preparations of monthly and quarterly management reports.

Assists with preparation of Common Area Maintenance (CAM) dues, invoices and related correspondence.

Administers accounts payable and accounts receivable. Codes invoices for payment, inputs into accounting system and forwards original invoices to accounting for payment.

Performs other duties as assigned.


No formal supervisory responsibilities in this position.

May provide informal assistance such as technical guidance and/or training to coworkers.

May coordinate work and assign tasks.

This position will provide expertise for Region 4 transportation projects in the specialized areas of real estate acquisition and relocation advisory services. This position will be responsible to communicate any observed effects of property acquisition and relocation and how these disciplines may affect schedule and budget during the project development process. Position will research, analyze and prepare waiver valuations to estimate the fair market value of property to be acquired. Major Duties: * Participates in project development activities which includes participation in public meetings and other public involvement in order to advise potentially affected persons/owners/tenants of the acquisition and relocation processes and procedures; * Participates in project meetings with both internal and external stake holders to stay apprised of the project status and informed about potential right-of-way issues, and offers assistance and right-of-way updates to project, traffic, and utility engineers, right of way team, and environmental personnel regarding acquisition nd relocation matters; * Participates in project development/engineering design, right of way plans preparation and appraisal meetings to advise project engineers, right of way, environmental and utilities personnel on acquisition/relocation issues; * Participates in project kickoff meetings with consultants and Region personnel who will perform activities and conduct oversight to provide clarification of priorities, share information gathered specific to each project and parcels, confirm schedules and expectations; * Acts as central point of contact and liaison for person affected by transportation projects to resolve, design, construction, utilities and other project issues; * Provides advisory services, determining benefits and processing claims to the federal-aid relocation program for projects in which persons and/or businesses are displaced; * Other duties as assigned. Work Environment: * Work hours M-F, 8:00 a.m. to 5:00 p.m. * Required to operate CDOT vehicles Minimum Qualifications, Substitutions, Conditions of Employment & Appeal Rights * A Bachelor's Degree from a U.S. accredited college or university in Real Estate, Business Administration, Public Administration, Accounting, Finance or a closely related degree * AND at least two years experience in real estate abstracting/title work, right of way plan development, property management for a public entity, property appraisal, right of way negotiations, land acquisition, relocation or land surveying. * A current valid driver's license is required for this position as it requires operating a state or personal motor vehicle to perform one or more essential functions of the position.
