This position is responsible for providing critical support to the Legal and Real Estate Departments of a fast-growing company experiencing 20% unit growth. Specific responsibilities for a motivated, team-focused, highly organized, detail-oriented, and reliable individual will include:

  • Legal and administrative support to the Real Estate, Construction, and Property Management Departments; and

  • Legal Department support on real estate matters, including project and document management, drafting, negotiation, research and administrative support.

Minimum eligibility requirements

  • Bachelor's degree preferred

  • Paralegal certificate from an ABA-approved program preferred

  • 10+ years of relevant commercial real estate experience at a law firm or in-house legal department (retail and industrial experience a plus)

  • Excellent problem-solving, analytical, organizational, communication and client service skills

  • Flexibility and ability to grow as the company's legal needs increase and evolve

  • Strong oral and written communication skills with the ability to communicate effectively with both internal and external business partners, as well as government agencies

  • Ability to autonomously manage and prioritize multiple responsibilities

  • Ability to independently move projects forward by gaining the support needed from others while working in a cross-functional role

  • Ability to multi-task and follow through on commitments

  • Ability to thrive in a fast-paced environment

  • Proficiency in Microsoft Word, Excel, PowerPoint and Teams

Essential Responsibilities

  • Support Legal Department of a fast-growing company

  • Coordinate real estate closing logistics; prepare closing checklists and critical dates memos; assist with preparation of real estate-related documents and correspondence

  • Coordinate calendar, scheduling and tracking of critical dates

  • Coordinate, compile and track documents through full execution/recording and distribution to appropriate parties

  • Analyze, interpret, abstract and summarize a variety of agreements, including letters of intent, NDAs, license agreements, easements, access agreements, leases, consents, waivers, purchase and sale agreements, REAs, estoppels and SNDAs

  • Experience reviewing and assessing title insurance commitments/policies (and related title documents), surveys and other due diligence, and coordinating changes with the appropriate parties

  • Answer calls/emails from store and regional management and dispense legal advice commensurate with experience (i.e., on matters not requiring input from a real estate or other counsel)

  • Manage real estate disputes with third-parties

  • Manage special projects or other department or company initiatives

  • Define and drive strategic and operational initiatives with on-time and on-budget results

  • Report on key operational and substantive metrics for the Legal Department that will better inform decision-making, including matter and work-product analyses

  • Review law firm invoices

  • Maintain existing and closed files and other legal, operational and administrative duties as needed

Working Conditions (travel, environment)

  • Limited travel required, including air and car travel.

  • The duties will primarily be performed in an office environment.

Physical/Sensory Requirements

Sedentary Work - Ability to exert 10 - 20 pounds of force occasionally and/or negligible amount of force frequently to lift, carry, push, pull or otherwise move objects. Sedentary work involves sitting most of the time, but may involve walking or standing for brief periods of time.
