Our client, a 19-year-old real estate consulting and investing firm is searching for a real estate office manager. A boutique office located in Chicagos central business district, they would like to add a successful and experienced manager within the real estate industry.

  • Strong administrative skills, to be able to recognize and run the office
  • Understanding of the concept of a Family Office, with the discretion required
  • At least a quasi-paralegal background, to be able to deal with filings with multiple Secretaries of States to maintain qualified status for limited partnerships, LLCs and corporations.
  • Experience in handling partnership tax returns and collection of and distribution of Form K-1s to partners
  • Experience in handling incoming invoices and processing those for payment, and filing of paid bills for each entity; processing of some incoming rent checks
  • Ability to work both alone and unsupervised
  • QuickBooks experience
  • Strong attention to detail

Duties will also include:

  • Some scheduling of appointments
  • Review of all vendors, with an emphasis on IT support, software and hardware
  • Coordinating the move of the business at the end of the summer, including movers and all internet, telephone, and network relocation

Specific responsibilities include but are not limited to: * Proactively assist in the management of a portfolio of clients, while reporting to Senior Managers and above * Be involved in the financial management of clients * Be actively involved in business development activities to help identify and research opportunities on new/existing clients * Contribute to the development of your own and team's technical acumen * Develop strategies to solve complex technical challenges * Assist in the management and delivering of large projects * Train, coach, and supervise staff * Keep up to date with local and national business and economic issues * Continue to develop internal relationships and your PwC brand Job Requirements and Preferences: Basic Qualifications: Minimum Degree Required: High School Diploma Minimum Years of Experience: 4 year(s) years in a corporate Real Estate environment preferred, Preferred Qualifications: Degree Preferred: Bachelor Degree Additional Educational Preferences: At lease 4 years of experience directly in real estate related transactions, financial and budgeting management and/or finance operations may be considered in lieu of a Bachelors Degree Preferred Knowledge/Skills: Demonstrates extensive knowledge of and/or proven record of success in commercial and corporate real estate, preferably within a global network of professional services firms, including in the following areas: - Developing a plan for the oversight and execution of small to midsized office projects through due diligence, design, construction, and move in; - Understanding real estate finance operations and practices including: contracts, lease agreements, occupancy costs, tenant improvement allowances; and, - Engaging with customers, attorneys and suppliers. Demonstrates extensive level of abilities and/or proven record of success functioning in a real estate operations management role, preferably within a global network of professional services firms, including in the following areas: - Managing all aspects of capital projects administration including lease incentive (i.e., Tenant Improvement Allowance) management, tracking and collections, capital project general construction documentation and payments, project close outs, office closings, vendor invoice payments, capital project budgets and funding requests; - Providing oversight and serving as the central team contact to collect approvals, sign-offs and certify appropriate processes are followed by the field for initiating real estate requests; - Managing internal and external resources and service providers for the execution of real estate initiatives; - Collaborating with the National Real Estate team and national brokerage service providers to administer and facilitate lease and capital projects transactions as directed; - Managing the lease administration function as required including recurring lease events, specific transactions, ;landlord communications and lease administration finance operations including the payment of rent and ancillary invoices; - Managing the lease administration function to confirm leases are entered into the system on an accurate and timely basis; - Managing a sublease portfolio for accurate billing and coordinate lease payments and sublease billing with Finance; - Contributing to successful operational process development and implementation via collaboration with Audit, Independence, Risk, Legal and other internal firm teams; - Coaching and supervising lease administration and capital projects administration teams; and, - Communicating at different levels within and outside of the organization, including leadership/management, business stakeholders, vendors and suppliers.
