Real Estate Management Specialist

Summary

This position focuses on services and support related to real estate management in the Facilities Department. Work may include interaction with landlords and tenants, procurement and management of service providers, coordination and oversight of office construction, coordination of office moves, and assistance with property management, among other duties. Some experience in due diligence, market and property evaluation, leasing and transactional negotiations is preferred. Some travel to Field Office locations will be necessary. The incumbent reports to the Director of Real Estate Management.

Responsibilities

Daily responsibilities will vary but may include some or all of the following:

  • Manage Landlord and Tenant Relations

  • Coordinate communication with Landlord and/or Tenants and maintain a professional relationship.

  • Manage invoicing of Tenants for work performed at VT home office. Will require follow up to ensure invoices have been paid.

  • Handle quarterly tenant billings at VT home office for work completed.

  • Assist with tracking current lease contracts and managing process for critical date actions. This could include ensuring rent amounts are in compliance with the lease documentation and ensuring that payments are forwarded to the appropriate parties in an accurate and timely manner.

  • Assist with maintenance of the Real Estate and Lease database.

  • Maintain and continue to update field space standards, tenant improvements standards and furniture and equipment standards. Develop and maintain a "standards document" database to include Lease Assignments, RFPs, project process documents and form letters.

  • Procure and manage service providers

  • Handle procurement, communication and daily interactions with service providers, which may include phone, copier, internet or other.

  • Provide input on office design, construction and moves

  • Aid Facilities Department Director with scheduling movers, furniture installers, painters, sign vendors, utilities, phone and others.

  • Request and track POs for projects or purchases.

  • Identify opportunities for more efficient space utilization.

  • When required, work with third party providers involved with the design and construction of leased office space, furniture and equipment, phone system, data systems and office cabling. This may include processing of invoices, providing feedback on performance and managing cost effective relationships.

  • Plan and schedule project activities to ensure that project progresses in accurate, timely, and non-disruptive fashion and ultimately achieve stated quality standards.

  • Maintain the inventory of furniture, computer and telecommunications equipment, and office equipment that encourages accurate asset management and reporting as well as minimizes decorating costs for offices.

Requirements

  • High school graduation or equivalent required. Bachelor's degree (preferred) in related field.

  • Occasional travel will be required.

  • Two (2) or more years of work experience in facilities, property management, project management, corporate real estate or related field.

Knowledge, Skills and Abilities

  • Proficient with Microsoft Word and Excel, and other computer operations.

  • CADD experience is preferred.

  • Ability to act independently and as part of a team.

  • Good time management skills required.

  • Incumbents must be able to move furniture and supplies and lift up to 50 lbs.

  • Basic knowledge of vendor management and contract oversight and negotiations.

  • Basic understanding of corporate real estate principles and practices (fit up, allowances, lease terminology, amortization, etc.)

  • Good organizational and planning skills.

  • Ability to communicate effectively both orally and in writing.

  • Ability to maintain confidentiality.

  • Ability to establish and maintain effective working relationships.

  • Ability to fit into our company culture and embrace it.

  • Must be a team player.

The base compensation range represents the low and high end of the range for this position. Actual compensation will vary and may be above or below the range based on various factors including but not limited to qualifications, skills, competencies, location, and experience. The range listed is just one component of our total compensation package for employees. Other rewards may include an annual bonus, quarterly bonuses, commissions, and other long-term incentive compensation, depending on the position.
