The Coordinator, Real Estate will report to the Vice President, Global Real Estate and will serve as a coordinator to the Corporate Real Estate Transactions team, supporting all real estate functions related to the management, acquisition, disposition, or modification of leased or owned properties. The role consists of supporting transactions activities and providing administrative support.

Here's what you'll do in this role

  • Assist transaction managers, as needed, to review or draft real estate notices

  • Utilize the team's lease database to research location-specific information including lease terms and critical dates

  • Manage, input, and utilize the team's project database to track and develop reports for the transactions team

  • Serve as the go-to for the team, providing recommendations for operational efficiency and excellence

  • Handle general office and administrative tasks, including the ordering of miscellaneous supplies; provide general support to other members of the department; provide administrative backup for team members

  • Organize team meetings and recurring transactions meetings involving multiple attendees and multiple locations (including Telepresence and presentation set-ups); juggle internal and external attendee calendars; demonstrate flexibility, patience, and organization in routinely rescheduling meetings; demonstrate professionalism when working with all attendees, including executive level

  • Prepare and proofread presentations, decks and various reports, as directed

  • Coordinate special services for critical meetings such as audio/visual needs and security check in

  • Assist with new employee set-up, including office needs, IT requirements, etc.

  • Organize and maintain executive files for ongoing projects

  • Keep timely and accurate expense account records; track team time-off calendars; process travel expenses and reimbursements

  • Other departmental duties as required.

Desired Characteristics

  • Superior organizational and administrative skills, with the ability to multitask and prioritize work, as demonstrated by previous corporate office experience

  • Previous experience as an administrative assistant in a fast-paced environment supporting multiple people

  • Experience in a real estate team within a firm or in house corporate team preferred

  • Ability to interpret and prepare analyses and summaries to management

  • Ability to adapt to the needs of multiple team members

  • Strong customer service orientation and communication skills with all levels of employees and clients, with excellent interpersonal skills, including a professional phone manner and in-person presence

  • Team player mentality and approach and ability to develop and maintain good working relationships with numerous executive assistants and other individuals across the company

  • Maintain a positive attitude and demonstrate ability to be flexible in a rapidly changing business environment

  • Superior organizational and administrative skills, with the ability to multitask and prioritize work, as demonstrated by previous corporate office experience

  • Excellent attention to detail and willingness to take initiative; self-starter who is organized and able to work without close supervision

  • Demonstrated ability to assume greater responsibility as circumstances dictate

  • Bachelor's Degree in Business Administration, Finance, Real Estate, or related field

  • Minimum 2 years of experience in a professional office environment, with a preference for that experience to be in supporting a fast-paced team with multiple leaders.

  • High-level proficiency in Microsoft Word, Excel, PowerPoint, Outlook and ability to quickly adapt and learn various database systems
