Position Overview

This position's key responsibilities are to work with our Defined Benefit (DB) staff, primarily pension consultants, to perform administrative duties in an effective and efficient manner.

Essential Job Functions

  • Assist DB administrators with data entry of all kinds including setting up the plans in ASC, our document and valuation system.

  • Assist in data entry for both the DB plan and DC plan when it is a combination plan.

  • Complete an initial review of census and financial data to make sure it coincides with the information we have on hand from last year. Review for new or missing employees, check the financial data report for any information that does not match up or is questionable. Discuss findings with administrator and/or client/advisor/accountant.

  • Assist administrators with preparation of all annual government filings.

  • If applicable, download the asset information from a vendors site and silo it so it is ready for the administrator.

  • Following up missing data for DB plans (including signing credentials) and unsigned forms by collaborating with the DB administrators. Follow ups are done by phone and email.

  • Package Annual Reports, make follow-up call to client to confirm delivery method, send the report and confirm receipt.

  • Back-up to complete and file Forms 8955 electronically for our administrators and confirm the filing was sent, silo the necessary information.

  • Package plan documents to be sent to clients for our DB plans.

  • Scan and upload all parts of the DB plans' annual reports, plan documents, etc. and upload to the client portal when necessary. Prepare Benefit Packages for DB plans' terminated employees. Assist administrators in running the benefit numbers.

  • Maintain documentation of distributions prepared during the year to prepare Forms 1099.

  • Assist administrators with the administrative tasks involved in DB plan terminations and monitor the progress.

  • Assist DB administrators with answering IRS Inquiries

  • Responsible for protecting, securing, and proper handling of all confidential data held by Ascensus to ensure against unauthorized access, improper transmission, and/or unapproved disclosure of information that could result in harm to Ascensus or our clients.

The team works closely with internal and external clients to ensure that transactions are processed in a timely manner and exceptions are resolved as quickly as possible. Position Purpose: This position's key responsibilities are to work with our pension consultants, distribution team, vendors and clients to facilitate in all steps of the distribution and loan process and ensure it is being handled in an effective and efficient manner. The Plan Distribution Associate will support the team in providing a high level of service to both associates and clients. The Plan Distribution Associate will provide timely and accurate processing of withdrawals from retirement plans. The role also involves understanding of types of withdrawals from a retirement plan and steps to ensure an accurate and efficient outcome. Skills/Competencies: * The candidate must be able to demonstrate the skills/competencies as listed below. * Communication Skills - Communication is primarily with peers and supervisor on specific assigned tasks. * Demonstrates ability to clearly articulate and document action taken or action necessary * Technical Knowledge - No to minimal ERISA knowledge or job specific technical knowledge required. Basic understanding of assigned tasks underpinning Operational function * Problem Solving- Processes work items per procedural direction. Requires assistance in solving problems that involved non-standard items. * Detail Oriented Vs. Big Picture- Generally focuses on details of a specific task related to a process. Focus is entirely task based vs. conceptual. * Conflict Resolution - Identifies and escalates conflict so that it can be addressed by senior associates and/or leadership. * Training/Mentoring - New associate that requires training in business function * Risk Taking/Decision Making - Recognizes instances where a decision is required for an item within their assigned tasks and escalates effectively. * Planning/Organizing - Generally plans for current day in order to meet task specific objectives as defined. Job Duties/Responsibilities: * Ensure timely and accurate processing of distributions and loans. * Research and resolve outstanding issues as it pertains to Distributions processing. * Responsible for accurately processing the different types of withdrawals that can be taken from a retirement plan. * Understands what a loan/distribution from a retirement plan means and the process and steps that it entails to take a loan/distribution (what a participant must do, a plan sponsor must do, what INTAC must do and what the vendor must do), includes understanding the paperwork involved. * Understands all vendors' sites with regards to loan/distribution processing and how to run reports when needed. * By using data from our vendors regarding defaulted loans, alert plan sponsors of the default, discuss possible reasons for the default and decides if the loan is truly in default. * Works with our administrators, plan sponsors and vendors to issue Forms 1099 for defaulted distributions and loans as needed. * Creates amortization schedules for loans and re-amortization schedules for participants when needed. * Point of contact for our administrators, plan sponsors or participants when they need to discuss payment options, defaults, re-amortization. * Understands and uses the Nationwide Loan system including setting up a new plan, converting a plan because of a platform change, adding loans, processing address or contact changes. * Monitors all Nationwide loans that we track in-house. Discusses any issues with pension consultants and/or clients. * Electronically files important information relating to the plan. * Utilizes TracIt, our internal database, and all features (i.e. email logging, email templates, letter templates, reports, etc.) and understands how it relates to the job functions. * Understands ASC, our valuation and document system, and how it relates to the job functions. * Prepares withdrawal forms to be given to clients when requested. * Resolve internal and external client issues by responding to all correspondence within communicated and departmental standard timeframes. * Collaborate with team members to continuously improve processes and how to meet team goals and objectives. * Assist internal clients with service or processing issues by providing professionalism and accuracy within a designated time frame of receiving a request. * Meet expectations of job by attendance, punctuality as indicated in the employee policy handbook. * Perform other duties and/or special projects as assigned. * Responsible for protecting and securing all client data held by Ascensus to ensure against unauthorized access to and/or improper transmission of information that could result in harm to a client. * The I-Client philosophy and the Core Values of People Matter, Quality First and Integrity Always® should be visible in your actions on a day to day basis showing your support of our organizational culture.
