Job Description:

As a Quality Assurance Auditor for Legal Records, the primary role is to ensure the accuracy, completeness, and compliance of legal records related to operations. Meticulous attention to detail and expertise in legal documentation will be pivotal in maintaining the integrity of records and supporting organizational processes. Work collaboratively with the team to uphold the highest standards of record keeping and contribute to the smooth functioning of operations.

Major Roles and Responsibilities:

The roles and responsibilities include but are not limited to:

  • Record Audit and Verification: Conduct comprehensive audits of legal records, including inmate profiles, case files, court orders, and relevant documents, to verify accuracy, consistency, and adherence to established regulations and protocols.

  • Compliance Assurance: Ensure that all legal records are maintained in strict compliance with relevant laws, policies, and guidelines. Uphold the highest standards of data security and confidentiality.

  • Data Integrity: Identify and rectify discrepancies, errors, or omissions in legal records. Regularly update records to reflect accurate and up-to-date information.

  • Plan of Action Report: Develop a Corrective Process Plan of Action Report that outlines corrective measures for our legal records processes. Submit a draft of the report to the Program Administrator and the Contract Administrator within 240 days of contract award.

  • Monthly Review of Records: Perform monthly reviews of random records to assess accuracy and completeness. Provide a detailed report to the Program Administrator and the Contract Administrator within 5 business days after each review.

  • Staff Assessment: Evaluate the ability of Inmate Record Office staff to perform duties related to Legal Instrument Examiner roles. Provide a written assessment within 120 days of contract award and incorporate findings into the Corrective Process Plan of Action Report.

  • The delivery of a corrective action plan is included as a component of the quality assurance auditing deliverables.

  • System Development Collaboration: Participate in essential meetings between our agency and authorized vendors to contribute to the development and enhancement of the new system.

  • Offender Management System: Maintain accurate and up-to-date information within the Offender Management System and ensure proper functionality and performance.

  • Reports and Performance Monitoring: Develop, review, and monitor reports from the Offender Management System, including transaction processing, staff performance, and workload management. Discuss report findings with the Program Administrator.

  • Technical Assistance: Provide technical assistance to the Inmate Record Office, including recommendations for the Technical Reference Manual and the creation of Computation Manuals.

  • Training Curriculum Development: Design a comprehensive training curriculum for the Inmate Record Office, including guides, materials, and job aids. Ensure training materials are updated regularly and oversee training sessions.

  • Work Hours and Location: Work on-site at the agency's facility for a maximum of 40 hours per week, in accordance with the contract terms.

Minimum Qualification and skills:

  • Bachelor's degree in legal studies, Criminal Justice, Records Management, or a related field.

  • Proven experience in legal record keeping, quality assurance, or similar role.

  • Strong understanding of legal terminology, documentation, and compliance standards.

  • Meticulous attention to detail and analytical skills.

  • Excellent organizational and communication skills.

  • Proficiency in using record management systems and software.

  • Ability to collaborate effectively within a team.

  • Knowledge of relevant laws and regulations.

  • Strong commitment to data security and confidentiality.

  • Possessing a certification specific to Quality Assurance Audit would be considered beneficial.
