Summary

The Procurement and Inventory Specialist purchases products and services using the approved vendor list and works with the Purchasing Manager and other Procurement/Inventory Specialists to assure materials in inventory are shared between sites whenever possible. This will be accomplished via cross-functional collaboration with internal stakeholders, negotiations, a fair and competitive bidding process, and adherence to purchasing approval limits. Under minimal supervision, the Procurement and Inventory Specialist leads local inventory management for vehicle maintenance and repair items. These functions include inventory receiving, stocking, issuing, kitting, tracking/reporting, and cycle counting. The Procurement and Inventory Specialist conducts all business in accordance with the approved procurement policies and procedures.

Job Description

Procurement Job Functions:

  • Effectively manage all spend that occurs in the position's respective cost center to include maintenance, operations, administrative and capital expenditure (CAPEX).

  • Review requisitions for completeness, accuracy, cost effectiveness, and adherence to Company standards, policies and procedures and prepare purchase orders.

  • Ensure that all purchase orders have the required approvals before issuing.

  • Obtain and analyze bids in accordance with established policies and procedures using approved vendor list.

  • Monitor vendor pricing agreements/contracts to ensure that the agreements are enforced.

  • Utilize the current Dossier system to place orders via approved inventory replenishment methodology.

  • Maintain storeroom operations in adherence to Company standards.

  • Serve as the local liaison between vendors and internal stakeholders; escalate procurement related issues to the yard General Manager and Procurement Manager as appropriate.

  • Manage parts returns, warranty recovery and core exchange tracking/reporting.

  • Support all shifts as needed and perform other duties as assigned by the Procurement Manager.

Inventory Job Functions:

  • Physically receive purchased materials from vendors and input receipt data into the CMMS.

  • Ability to travel to pick up and/or deliver parts.

  • Issue parts to repair orders via CMMS.

  • Manage critical spare parts identification and stocking levels.

  • Identify obsolete inventory and manage disposition according to approved procedure.

  • Conduct scheduled inventory cycle counts in order to identify root cause and mitigate inventory inaccuracies.

  • Utilize CMMS to organize inventory locations according to product category, VMRS code and part number sequence.

  • Ensure parts entered into the CMMS (Dossier) follow the correct nomenclature and part description naming conventions.

  • Maintain storeroom operations in adherence to Company standards.

  • Manage parts returns, warranty recovery and core exchange tracking/reporting.

Required Qualifications:

  • High School Diploma or equivalent.

  • 3 years' experience in heavy truck equipment & light duty truck parts procurement and research.

  • Ability to read and comprehend parts breakdown books.

  • Familiar with Purchasing and Inventory Management software applications.

  • Intermediate Microsoft Office proficiency - specifically Excel.

  • Consistently behaves in a professional manner.

  • Valid Class C Driver's License with acceptable Driver's Record.

  • Ability to perform physical requirements of the position with or without reasonable accommodations.

Preferred Qualifications:

  • Bilingual (English & Spanish).

  • ASE Parts Specialist certification.

  • APICS CPIM certification.

  • Certified Purchasing Professional certification.
