The Purchasing / Systems Coordinator is directly responsible for all aspects relating to the acquisition of goods and services from all assigned vendors and develops and maintains systems spreadsheets related to measuring production output. This position needs to maintain the incoming of materials needed to perform the Company's mission and tracks labor versus output. The Purchasing/Systems Coordinator is responsible for the entire process from purchasing to invoice approval of all Purchase Orders issued and assists with developing systems with new product development as appropriate.

1.Responsible for the creation and issuance of Purchase Orders.
2.Creates systems and monitors spreadsheets that illustrate daily measures with respect to safety, quality, delivery and cost.
3.Assists with new product development as appropriate.
4.Responsible for developing systems and updating information which provide information on labor versus output versus budget.
5.Trains employees on new procedures and develops appropriate system manuals.
6.Reviews acknowledgements of all Purchase Orders issued by them to include correct product, unit of measure, quantity, cost and due dates.
7.Monitors all relevant reports assigned to maintain the highest degree of accuracy and information possible.

  • Is the primary contact for all assigned Vendors. Develops strong relationships with and corresponds with Vendors representatives for quotations, ensures that they maintain contact with vendors regarding status of purchase orders.
    9.Reviews and approves all invoices for payment.

  1. Issues Return Merchandise Purchase Orders when necessary and monitors them to make sure credits are received in a timely manner.
  2. Responsible for maintaining appropriate inventory levels for all products assigned.
  3. Identifies and resolves problems in a timely manner and reports all issues that require special handling to the Purchasing Supervisor.
  4. Makes sure the flow of information on assigned vendors is passed on to those that need to have access to such information.
  5. Ensures that the Purchasing process and all procedures and policies in place are followed always.
  6. Performs all other miscellaneous job-related duties as assigned.

1.Strong computer skills with the ability to create spreadsheets containing formulas, links and macros.
2.Ability to compile accurate and complete systems and information designed to provide data illustrating labor versus output versus budget.
3.Must have a good understanding of the entire Purchasing process, procedures and policies.
4.Thorough understanding of the Winsys system as well as the Trend purchasing system and must have the ability to learn new software programs.
5.Ability to review acknowledgements for accuracy, with a strong attention to detail.
6.Ability to sort, check, count and verify numbers.
7.Must posses good organizational skills with the ability to develop systems to organize, sort and file documents.
8.Ability to monitor lead times and determine appropriate stock levels.
9.Must work independently, under little direction, and must also function as part of a team.
10. Ability to communication effectively, both orally and in writing.
11. Capable of detecting problems, analyzing and researching them to develop and offer solutions.
12. Knowledge of organizational structure, workflow, and operating procedures.

Summary Minimum Education & Experience Required

A Bachelor's degree in a related field is preferred or a minimum of 5 years of experience directly related to the duties and responsibilities specified.


While performing the duties of this job, the employee must be able to work inside, occasionally work protracted or irregular hours. This position will work closely with others in addition to working alone.
