Reviews and posts purchase orders; serves as liaison to other departments regarding purchase orders and with products and service satisfaction; maintains vendor database. Serves as back-up for Inventory Coordinator
Posts purchase orders, including generating hard copies, emailing, and faxing or mailing them to appropriate vendor.
Reviews requisitions, including gaining approval from the department head, and the Purchasing Agent, finding the lowest possible price, and making sure the selected vendor is approved by the county.
Obtains price quotes for products and services by phone, fax, and email.
Maintains files of purchase orders, contracts, purchasing cooperatives, inter-local agreements, W-9s, vendor Terms and Conditions Agreements, certificates of liability and other documents.
Maintains vendor master file in New World Systems, including updating vendor information as needed.
Mails W-9 forms and Terms and Conditions Agreements to new vendors, and adds completed forms to file.
Orders supplies and equipment for the department as needed.
In charge of sending the buyboard reporting emails for the office
Maintains the filing system for the office
Assists with the inventory auction process when necessary
Assists Auditor's when necessary
Corresponds with vendors, including obtaining quotes on future purchases.
Regular and timely attendance is required.

High school graduation, or its equivalent, plus at least one year of experience, or any equivalent combination of education and experience, which provides the required knowledge, skills, and abilities.Personal computers; business and government accounting principles; laws, policies, and procedures affecting county government purchasing and solicitation of bids; and standard office practices. W-9 forms & certificates of Liability Insurance.
Use computer applications such as spreadsheets, word processors, and databases; read, analyze, and interpret various financial data, policies, and procedures; balance accounts; maintain accurate records of purchase orders and requisitions, as well as payments made and goods or services received; compile, bid solicitation information and sealed bids; communicate effectively, both oral and in writing; and establish and maintain effective working relationships with county employees, vendors, and the general public. Must be very knowledgeable regarding Excel, Adobe, and Word.
