The Purchasing Specialist will be responsible for Creating, maintaining, and taking ownership of all purchase orders on behalf of the company: internal purchases (ie. supplies, etc.), subcontractor POs, and IT equipment POs sold to our federal government customer.

Job Requirements (Knowledge, Skills and Abilities)

  • Purchases IT equipment, supplies, and services for both multifaceted projects and internal use in compliance with our set policies and procedures.

  • Receives, reviews, and processes purchase requisitions for subcontractor POs.

  • Functions as a critical component of a workflow which includes program managers, program control, project managers, and Contracts administration to create POs in support of our government subcontracts.

  • Collaborates with our warehouse manager to schedule acceptance of incoming equipment orders to our warehouse, and schedules shipment of goods to our customer locations around the world.

  • Performs administrative duties for the organization of purchase orders. These duties include: maintaining files, creating/maintaining records of all current purchase orders in file folders, and archiving completed PO records.

  • Works with our vendors to answer customer and sales inquiries for price, product stock/availability, shipping schedule, and expediting options.

  • Update pertinent sales reports in conjunction with the Sales Operations Manager.

  • Assist the Finance team in reconciling the corporate credit card(s).

  • Processes/Authorizes incoming invoices for payment by providing the required backup paperwork, Account Project code(s), and approval signatures to the Accounts Payable team.

  • Assists with other actions required to ensure overall management of procurements are conducted in a timely and accurate manner.

Required Skills

  • Minimum of 0-2 years of experience with Federal Procurement

  • Proficiency with Microsoft Excel, Outlook, and Word

  • Effective administrative and organizational skills a must

  • Solid written and oral communications skills

  • Ability to follow a set standard of policy and process
