Position Summary

Reporting to the Library Director, the Purchasing Associate will be responsible for maintaining financial records for the library. This person will maintain fund ledgers, produce PeopleSoft reports, and correspond with the business office regarding fund balances and purchases. They will follow NDUS policies and procedures while managing all library financial matters. This person will disseminate financial information to the director while also serving as the library's administrative assistant. In addition, the Purchasing Associate will work as needed in the Access Services department where they will assist with interlibrary loan processing, stack maintenance, circulation, and student worker management.

Responsibilities

  • Create and send orders for supplies, equipment, repairs, and library materials.

  • Prepare purchase orders and maintain a filing system and ledger of purchase orders.

  • Pay invoices generated by transactions and purchases.

  • Create and deliver purchase card log to the business office before the 10th of each month.

  • Collect, count, deposit, and post cash from the copy machines or other vending units.

  • Coordinate with the Access Services unit for the deposit of local funds and the handling of patron printing card funds.

  • Coordinate with the Access Services unit to perform student worker management, training, and payroll.

  • Maintain balance information for all library funds.

  • Coordinate library carrel assignments.

  • Communicate with offices across campus including the business office, printing services, ITC, facilities, etc.

  • Acquire requested books and other library materials.

  • Shelve materials and train students while using the LC classification system.

  • Maintain a ledger of purchases recording titles, requester, cost, and other pertinent information.

  • Unpack new materials upon arrival and inspect them for defects or damage.

  • Request refunds or replacements when necessary.

  • Work closely with the collection development librarian and generate reports as requested.

  • Compile annual reports of materials ordered.

  • Work closely with the Library Director to complete reports and other projects as needed.

Qualifications

  • High school diploma or GED.

  • Experience in bookkeeping desired.
