POSITION PURPOSE:

Provides administrative support to the Buyers. Assists with the organization and execution of company projects and functions. Handles details of a confidential nature. Keeps Buyers well informed of activities and provides assistance to Purchasing staff.

ESSENTIAL FUNCTIONS AND BASIC DUTIES:

  • Responsible for the effective and accurate performance of assigned clerical and purchasing functions.

  • Executes against reports such as the daily lost sales reports and open purchase order reports and compiles information to share with the buyers, operations and vendors as necessary.

  • Actively resolve issues or concerns that pertain to work related and assigned tasks. Facilitates a "problem-solver" approachidentifies the problem, offers solutions and executes/delivers results.

  • Stays educated on development, changes and trends related to industry.

  • Follows up with suppliers regarding status checks on purchase orders.

  • Creates and adjusts purchase orders as needed.

  • Prepares a variety of documents, reports and records including Returns to Vendors and Package Changes.

  • Assists and supports department personnel as needed. Resolves requests, questions and problems promptly.

  • Obtains and conveys information such as inventory checks as needed.

  • Completes miscellaneous purchasing duties and clerical duties as assigned.

  • Responsible for establishing and maintaining effective, professional business relations with suppliers. Obtains and conveys information courteously and promptly. Maintains and projects the Company's professional reputation. Promotes goodwill and conveys a positive image of the company.

  • Interacts with internal customersprovides data and communicates regularly between the IPAR team and Operations, Inbound Logistics, Pricing, Accounts Payable, Marketing, SRM and RCM.

  • Keeps management informed of area activities and of any significant problems or concerns.

  • Attends and participates in meetings as required.

  • Completes special projects as assigned.

Required Skills

QUALIFICATIONS:

Education/Certification:

  • High school graduate or equivalent related experience

  • Associate degree desirable

Experience:

  • 1-2 years of professional business experience in purchasing, category management, sales or related fields

  • System Implementation preferred

Knowledge:

  • Proficient in all Microsoft Office applications

  • Knowledge of purchasing and inventory policies and procedures

  • Understanding of document formats, spreadsheets and business communication

Skills/Abilities:

  • Ability to work will independently, prioritize and complete tasks in a high pressure environment

  • Ability to be discreet and handle highly confidential information

  • Excellent verbal and written communication skills

  • Excellent interpersonal and customer service skills

  • Solid analytical, creative and problem solving ability

  • Well organized and attentive to detail

This individual must possess the knowledge, experience and confidence to engage and professionally interact with the design professionals and consultants while successfully directing the sub-contractors and other construction related personnel. Planning, coordinating and safely executing the work in accordance with the construction documents, schedule and budget. This position will work closely with the Site Superintendent and fulfill an integral role on the project. Job Responsibilities: Assist the Superintendent in managing work on site to ensure the compliance of construction drawings and specifications Support the Superintendent in planning and implementing schedules, determining manpower levels, material quantities, inspections, equipment and requirements are maintained Maintain and enforce good construction standards and quality control including deficiency lists Maintain a safe job site and ensure that the requirements of Occupational Health and Safety Coordinate and schedule subcontractors and suppliers Monitor and maintain the project construction schedule on a weekly basis Maintain control and responsibility for the security of the job site Monitor work performance to ensure project rules, procedures, and safety requirements are being followed Advise Superintendent and Project Manager of potential problems, work interferences and schedule difficulties and assist in resolving these problems Meet with Owners, Consultants and Architects in a professional manner and have the ability to communicate effectively both the concerns and best interests of the company Work with trades and suppliers reviewing, planning, coordinating and supervising their tasks and deliverables for the construction project Complete and maintain all daily logs, journals, and compliance reports related to the construction project Prepare look ahead schedules on a weekly basis for distribution subcontractors and suppliers Adhere to company?s purchasing (PO) procedures while ordering or receiving any needed material and equipment within delegated authority Identify items to be submitted as Request for Information to the Architect/Engineer or Owner prior to problem development at the site Update ?as-built? conditions or changes in contract documents and coordinate with subcontractors, suppliers for implementation Ensure all certificates and final inspections have been obtained prior to project close out Qualifications & Knowledge: Minimum 3 years? as an Assistant Site Superintendent with experience in institutional, commercial or multi-family high rise buildings Post-Secondary Degree or Diploma in Engineering, Architecture, Building Technology or Construction Management Possess strong communication skills. Working knowledge of MS Outlook, MS Word, MS Project and MS Excel. Ability to adapt to changing conditions and proactively develop appropriate means and methods to meet and overcome challenges.
