Position Summary

The Purchasing and Risk Specialist will be an integral part of Aeon's Property Operations team, collaborating closely with leadership to optimize portfolio performance while supporting risk mitigation efforts in alignment with Aeon's mission. Reporting directly to the Director of Shared Services, this role will primarily focus on procurement activities, contract management, vendor management, and administrative support for insurance claims and risk-related initiatives.

Essential functions include, but are not limited to:

  • Develop and implement procurement strategies to reduce expenditures, enhance property value, and maximize investment returns, in collaboration with the Senior Director of Operations.

  • Lead the identification, negotiation, and management of vendor contracts and contractor agreements, ensuring compliance and cost-effectiveness across the Aeon portfolio. Ensures Aeon sources WMBE vendors when possible, in alignment with Aeon's commitment to investing in the communities we serve.

  • Coordinate the procurement process for capital improvements, including sourcing materials, obtaining competitive bids, and managing vendor relationships to ensure project success.

  • Assist in managing the Request for Proposal (RFP) process, from document preparation to proposal evaluation, to secure optimal value for Aeon.

  • Provide administrative support for risk mitigation activities, including documentation collection, storage, invoice reconciliation, and reporting of claims and incidents, to ensure organizational compliance and efficiency.

Skills & Qualifications

  • 1-3 years of recent property management experience or related administrative experience is required.

  • Strong project management skills and an ability to multi-task with attention to detail and follow-through is required.

  • Yardi experience is preferred.

  • Demonstrated strength in financial analysis and planning is required.

  • Independent judgment to plan, prioritize and execute a diverse workload while meeting tight deadlines is critical.

  • Must be able to thrive in a fast-paced work environment, adapting well to shifting priorities.

  • Ability to engage in interpersonal communication that is culturally responsive, ensuring consideration for differing needs and expectations is required.

  • Must have a commitment to learning and participating in Aeon's diversity, equity, and inclusion efforts.

  • Physical Requirements:

  • Ability to lift up to 10lbs.

  • Ability to reach above and below the shoulders.

  • Ability to sit and stand for extended periods of time.

  • Ability to file, open and close file drawers, and enter data into a computer for extended periods of time.

Compensation, Hours & Location

Compensation is commensurate with experience. Aeon offers an impressive benefit package that includes medical, dental, vision, life insurance, short-term and long-term disability, retirement plan, generous paid time off and an employee assistance program. This full-time position offers mostly Monday-Friday, daytime hours. Typical work schedules are 8:30am-5pm, but there is some flexibility in these hours to accommodate the needs of the position and the staff person. This is an in-person position and will office mostly at Aeon's Central Office. Occasional remote work, work at training facilities and at Aeon properties will occur from time to time.
