Overview

Under the supervision of the VP/Director of Facilities & Capital Planning, the Purchasing & Inventory Coordinator is responsible for managing and purchasing equipment, supplies and services. Maintains adequate inventory levels and availability of supplies for the banks services for multiple departments. Troubleshoots supply issues, coordinates needs among the multiple departments and insures that products are readily available in a timely, cost effective and safety oriented manner.

Responsibilities

Performs any functions necessary, within the scope of authority and expertise, to provide the highest level of service and responsiveness to customers.

  • Coordinates and processes purchases of supplies, equipment and services required for bank departments. Works with Administrators, supervisors, and Technical Specialists to ensure appropriate supplies and equipment are purchased.

  • Supervises inventory levels in the facility storeroom, and special areas to ensure continuous service needs are met throughout the Administration / Operations Center and bank branch network. Maintains accurate records in the processing and documentation of activities.

  • Works as a key member of the Administrative Services / Facilities team to evaluate department requirements, plans and coordinates equipment needs, supply types and levels. Coordinates and communicates requirements and associated priority with Purchasing and Materials Management and other support departments to ensure continuity of operations.

  • Contacts and meets with vendors to collect information, services, purchasing alternatives, ensures maximization of purchases, participates in the negotiation of pricing, contracts and agreements.

  • Maintains accurate records for orders, repairs, invoicing, returns/exchanges; in order to document cost effective utilization of resources. Approves invoices for payment and resolves discrepancies to correct pricing or delivery issues.

  • Assists in the evaluation/servicing of new products and equipment.

  • Monitors services activity to ensure the availability of required supplies, special equipment, and service requirements to ensure continuity of operations.

  • Reviews service contracts and insures continuous, cost-effective service. Coordinates and ensures that agreements are processed through the bank AP and Information Security systems.

  • Fulfills all compliance responsibilities related to the position.

Qualifications

  • Bachelor's Degree

  • Excellent written and verbal skills

  • Computer Literacy background

  • Purchasing or Inventory Control experience.

  • Minimum Experience: Minimum 5 years' experience

  • Basic Accounting knowledge and experience

  • Experience with negotiating with vendors
