Overview

The Purchasing Administrator/Inventory Coordinator position is responsible for ensuring that all equipment, supplies, and materials are received, stored, catalogued, and shipments prepared in a manner consistent with Sharp Business Systems best practices. Must maintain and coordinate appropriate stock levels through inventory controls.

Responsibilities

  • Responsible for assisting with the purchasing and receiving functions including timely and accurate recording in operating system

  • Responsible for inventory control, including equipment fixed assets, cycle counts and physical inventories per Company policy

  • Maintain adequate and appropriate stocking levels

  • Coordinate return of non Company assets working closely with administration and sales personnel

  • Maintain inventory in an organized and labeled method working with warehouse personnel

  • Operate machinery such as forklifts to properly store materials

  • Pick and prepare orders for assembly or shipment

  • Order tracking thru various vendor relationships

  • Other duties as assigned

Qualifications

  • 3-5 years previous warehouse experience

  • Strong computer skills including equipment replenishment logic.

  • Strong interpersonal and verbal communications skills

  • Excellent computer skills, specifically Microsoft office

  • Candidates must have a valid driver's license

  • Ability to drive 15' foot box truck

  • Ability to operate forklift after receiving proper training

JOB SUMMARY: Assist regional leadership team with administrative and operation functions for the region. KEY RESPONSIBILITIES: 1. Serve as back up to answer regional phone calls by the second ring. Enter Tenant Service Requests (TSR's) as received in IMPAK. Dispatch TSR's accordingly to appropriate engineering team member and monitor. Update work orders when necessary for extensions/changes. Monitor for completion. 2. Maintain all aspects of the property portfolio to ensure it functions in a smooth and efficient manner. Related activities include, but are not limited to, directly interfacing with tenants, vendors, owners, and the general public, dispatching maintenance personnel, updating/maintaining IMPAK, and maintaining all required office supplies and materials. (This position will serve as back up to the Regional PA/Tenant Service Coordinator – reference item #1). 3. Respond to tenant problems, concerns, and requests, and coordinate with the maintenance staff. Track tenant receivables and assist in the collection of delinquent accounts. 4. Establish and maintain required tenant files, including lease files. Document any tenant adjustments and modification utilizing billing change notice. Track tenant insurance certificates and maintain up-to-date emergency contact information. 5. Work with accounting department to ensure accuracy in property financial reporting requirements. Assist in preparation of weekly delinquency reports. Assist Property Manager in compiling monthly and quarterly reports. 6. Review the rent increase reports on a monthly basis to ensure accuracy. Review property Rent Rolls on an ongoing basis for accuracy. 7. Maintain/manage all related property manuals, files, computer files, and maintenance contracts. 8. Research, review, code and process property, capital and tenant improvement invoices for approval and payment in DocuSphere. 9. Review Service Contracts and Work Authorizations at a property, capital and TI level for appropriate requirements in IMPAK to ensure accuracy. 10. Prepare reports and forms (NOI's, collections, BCN's,etc) for Real Estate Manager. 11. Assist in scheduling and coordinating regional meetings, training and holiday party. 12. General administrative as needed for Real Estate Manager. 13. Create shell projects in IMPAK for capital and tenant improvement projects for Project Manager and Regional Engineer. Source and record project specific documents (COI, RFP, Scope, Bids, W9, Contract/Authorization) in IMPAK, F-Drive and E-lib as required. Track project and upload documentation as project moves forward. 14. Assist in compiling and maintaining capital and TI close out packages (lien waivers, invoices, reconciliation, CD's, etc.). 15. Assist in compiling and maintaining regional operations and specialty contractor list. 16. General specialty projects as requested and approved by regional based on availability REQUIREMENTS: Experience: * Minimum of three (3) years experience in accounting and administrative work. * Previous property management experience is preferred. * Experience in reading and interpreting real estate leases/contracts. * Real estate knowledge preferred.
