TITLE: Pupil Services Specialist CLASSIFICATION: Non-Certified

FLSA: Exempt DEPARTMENT: Curriculum

SALARY: Administrator Salary Scale PG 2 WORK YEAR: 260 Days

REPORTS TO: Director of Pupil Services

JOB DESCRIPTION:

Under the general direction of the Director of Pupil Services, acts as pupil services office manager. Provides highly responsible secretarial support to the director; assists with transportation; collects and organizes data; and disseminates information to staff, parents, students, and the community.

QUALIFICATIONS:

  • High School Diploma or equivalent. College degree preferred.

  • Five years of paid, verifiable, office manager-level experience.

  • Experience with school transportation systems is preferred.

  • Proficient in Microsoft Office Suite, Google Docs, etc.

  • Valid Driver's License

KNOWLEDGE, ABILITIES, AND SKILLS:

Knowledge of:

  • Computer Programs including word, excel and graphing.

  • Principles and practices of delivery of transportation services.

  • Knowledge of school and district policies and procedures

  • Record keeping and filing systems

Ability to:

  • Work effectively in a team environment with multiple stakeholders.

  • Communicate effectively orally and in writing.

  • Assess problems and generate and implement solutions that support safe, efficient bus service.

  • Take initiative, multitask and manage tasks timelines.

DUTIES AND RESPONSIBILITIES: (Essential Job Functions)

  • Assist the director with student complaints, suspensions, expulsions, and general administration of student discipline policies.

  • Follow up with students' parents/guardians by phone, or in writing to ensure they have completed required or recommended actions, and placement.

  • Assist with scheduling Expulsion Hearings notification, placement, and BOE Letters

  • Communicate District discipline information to school behavior teams on a periodic basis.

  • Assist with communicating with bus monitors regarding their assigned routes, attendance, etc.

  • Answer phone calls from the bus company, parents, schools, vendors, etc.

  • Assist with requesting and reviewing video footage from the bus routes

  • Track bus behavior incidences and consequences based on transportation violations.

  • Assist with submitting Field Trips and Activities to the Bus Company

  • Update and maintain spreadsheets of all the transportation Field Trips and Activities

  • Assist with scheduling transportation activities.

  • Learn all functions relative to ensuring the optimum usage of the Versa Trans routing system including set-ups. Routing sequencing, student load parameters, and timing of bus routes relative to school start and end times.

  • Assist with routing students to regular and special service routes

  • Work with Illinois Central School Bus Company to confirm scheduled trips by schools, coaches, etc.

  • Notify Illinois Central School Bus Company regarding cancellations, rescheduling. and updating Field Trips and Activities.

  • Act as a liaison between the bus company and schools.

  • Assist with recording and responding to concerns from staff, administrators, Illinois Central School Bus Company, parents, and any outside agencies regarding transportation services.

  • Process purchase order requisitions for all extra-curricular transportation services.

  • Assist in the preparation of the Annual Claim for Transportation Reimbursement.

DUTIES AND RESPONSIBILITIES: (Essential Job Functions Continued)

  • Create user-friendly reports to assist stakeholders (staff, district administrators) in data-driven decision making.

  • Update and maintain the financial records of the various grants in the Department of Pupil Services.

  • Prepare monthly payroll information for the department.

  • Perform other duties within the scope of the position as assigned by the director

WORKING CONDITIONS:

Maintain effective audio-visual discrimination and perception needed for making observations, reading and writing, communicating with others, operating assigned equipment. Maintain physical condition appropriate to the performance of assigned duties and responsibilities, which may include frequent standing, sitting, walking, occasionally required to lift up to 24 lbs.
