Position Summary/Career Interest

The Public Relationships and Events Manager is responsible for participating in the management of the Health System public relations plan to maximize reputation and preference nationally, regionally and locally. As the marketing/communications/PR/media team develops its plan, the Public Relationships and Events Manager will carefully develop the plan to maximize existing partnerships, and identify relationships that are necessary to meet health system objectives, either through sponsorships, event participation, or new relationships. This position will also ensure that relationships remain positive by developing a plan to, on an ongoing basis, assess and mitigate necessary community relationships.

This position will also oversee sponsorship execution and event management to support the hospital executives and strategic needs of the organization.

Works closely with public relations team and consultants, as well as marketing team leadership to ensure our organization's reputation and preference is maximized nationally, regionally and locally.

Ensures all relational marketing activities are brand building, support our reputation, and support strategic growth of the health system in building patient volumes and consumer preference.

Responsibilities

Sponsorship Management
1.Point of contact for The University of Kansas Health System sponsorship requests, recommends participation and negotiates assets based on PR plan, input from service line leaders and executives.
2.Manages Venue agreements to ensure brand assets are executed to include Brand adherence; negotiates additional opportunities based on yearly public relations needs.
3.Proactively seeks new sponsorship opportunities to target service line initiative goals.
4.Designs and oversees management of details of sponsorship including: pre-event promotions, processing of sponsorships fees, execution of sponsorship assets and marketing opportunities are completed to ensure that the opportunities are maximized.
5.Works with public relations team, related service line executives and marketing managers to determine how to maximize outcomes and to build corporate relationships within the community.
6.Oversees staff and delegated responsibilities to:

  • Manage ticket distribution for all sponsorships and works with input from Executives and service lines leaders, and

  • Manage all contracts to ensure delivery of services meet and exceed expectations as outlined in each agreement. Works with each contract to activate sponsorship above and beyond the contract to meet the strategic needs of the organization through these medical team sponsorships.

EVENT MANAGEMENT AND PROMOTION
1.Manages communications with HEO, UKP leaders, internal communications, service line executives and managers, marketing staff/call center and related areas so all team members are up-to-date on upcoming events and sponsorships
2.Oversees staff and delegated responsibilities for:

  • Planning of all internal and external health system events,

  • Coordinating event team to ensure events and projects are successful,

  • Executing and implementing events,

  • Ensuring high excellence in event experience to include up-to-date booth materials and exhibits, and portrayal of the hospital's brand; handouts are relevant and up to date and the event staff is prepared with brand elements and talking points,

  • Supporting event needs including marketing messaging, branding and collateral support,

  • Communicating event to relevant parties for maximum exposure, and

  • Attending events and providing event wrap-up report
    3.Evaluates event program, making recommendation for future sponsorship considerations and event opportunities, and implements new creative ideas for involvement and partnering.
    4.Manages the promotion, advertising and direct mail, social media and promotional postings as needed to promote events.
    5.Responsible for executing marketing benefits as part of a sponsorship agreement through Fund Development events, and manages the coordination of event promotion as they relate to service initiatives with Fund Development to ensure event is promoted and marketing assets are coordinated as applicable to ensure event success.

COMMUNITY AND CORPORATE RELATIONS

Works with PR team/consultants to identify organizations/partnerships needed to achieve broad PR/reputation objectives of the organization.Develops partnerships to optimize promotional coverage and external public relation opportunities.Provides support for organizational projects with a community partnership component

Develops and manages promotional plans to support major initiatives identified by the health system.Manages and oversees outreach relationship opportunities to ensure a coordinated effort is delivered and all -promotional efforts are in place. Manages and coordinates opportunities with service line managers to promote service lines and providers.Coordinates media and PR opportunities with Corporate Communications, social media, Hospital Media and Government Relations regularly.

ADDITIONAL RESPONSIBILITIES

Assists with department functions as needed.Proofreads as necessary.Interacts with PR/Marketing staff for program needs.

Qualifications

  • Bachelor's Degree in related field, Master's Degree preferred

  • At least 5 years related experience

Assess needs and provide consultation, support, direct assistance, information and referrals to community resources. PRIMARY DUTIES AND RESPONSIBILITIES: * Direct all aspect of the Emergency Assistance Site including programming, volunteer management, and the food pantry. * Ensure effective management of the food panty including stocking, implementation of food related programing, collaboration with HDC for food orders, grocery store food rescue programing, and food donations, and coordination of food pantry volunteer schedules. * Ensure effective collaboration with the COO and VP, Program Operations, Director of Stabilization, Administration and staff toward the planning of and provisioning of services and establish synergies with related internal programs and external agencies to serve those in need. * Provide leadership and direction within the framework of the Agency's mission and values with staff, volunteers and the community. * Represent the Agency and be responsible for networking and developing positive working relationships with community agencies as well as funding agencies to expand and improve services. * Provide oversight to Programs including ensuring successful implementation, evaluation and coordination of services. Ensure that programs are in compliance with funding regulations, program goals, and stakeholder expectations. * Identify community needs and maintain existing programming, establish services or develop partnerships with other agencies to address those needs. * Responsible for the supervision of EAC staff including case managers including accountability of hiring, assigning, appraising performance, rewarding and discipline, addressing complaints, and resolving problems. Includes being available to coach them as needed with monthly supervision of each staff member independently. * Conducting one hour of supervision with each direct report on a monthly basis. * Manage and develop a high performing team of mission-centered staff and volunteers; ensure that all are duly trained in procedures, policies, and applications associated with their job and when appropriate, are licensed to provide effective, efficient, and high quality services to all clients. * Responsible for assigned program budgets across the site, reviewing monthly detailed expense and income reports with case managers and working closely with subordinates and VP, Program Operations to develop and adherence to yearly budgets. * Function as a good steward of resources provided by the Agency, volunteers, and donors. Ensure that goods, services, and monies are distributed equitably, consistently, and within Agency and federal guidelines. * Establish and deliver expected outputs and outcomes for assigned programs that include the assurance that all statistical information is received, inputted, and recorded accurately and timely. * Utilize volunteer support, where appropriate, to enhance resources available to more effectively serve clients. * Prepares reports and communications with the COO and VP, Program Operations to promote public and internal understanding of programming. * Participate in community outreach through presentations, facility tours, community meetings, and attendance at events.
