Provide administrative support for a department consisting of 10 full-time staff members. Duties include reviewing lab/lecture audits, scheduling student appointments, assigning advisors, assisting students with enrollment-related questions, and various tasks as required by current events.
Required Qualifications
High school diploma or equivalent required
Customer service experience
Knowledge of general office equipment including copier, fax machine, and multi-line telephone system
Computer literacy to include proficiency with Microsoft Office and Outlook
Strong organizational and public relations skills
Excellent communication and interpersonal skills
Ability to work in a team environment
Ability to handle a fast-paced work environment with interruptions while managing detail-oriented tasks
Ability to remain focused and calm under pressure
Preferred Qualifications
Data entry and document imaging experience
Prior clerical or community college work experience
Experience with Jenzabar or other Student Information System software
Essential Functions
Answer general student questions related to advising
Assign advisors and email students with appropriate information and schedule appointments as needed
Work effectively in a fast-paced, high-volume, and confidential environment by multitasking and with frequent interruptions
Communicate accurate, comprehensive, and timely information to students, potential students, and visitors
Perform class audits for lab/lecture match and corequisite/prerequisite requirements
Maintain comprehensive knowledge of the college's instructional programs, Student Services processes, and events
General office and receptionist duties, including mailouts, telephone communications, electronic filing, emailing, and interacting with the public
Assist in the review, coding, input, and imaging of student documents
Provide clerical support for the Director of Pathways Advising
Other duties as assigned
Physical Demands
Must be able to remain in a stationary position 50% of the time
Must be able to sit or stand for long periods of time
Repetitive use of a keyboard at a workstation
Use of manual dexterity
The person in this position frequently communicates with others; must be able to exchange accurate information
Frequently moves equipment or paperwork weighing up to 50 pounds
