Job Summary
To plan, coordinate and manage master schedules for providers. Handles a wide variety of situations and resolves conflicts pertaining to the master schedules and other administrative duties. Provides production planning and ongoing weekly evaluation for the practices and gives guidance to the other schedulers. Relies on experience and judgment to plan and accomplish goals. Maintains the accuracy of provider scheduling templates to ensure appropriate patient access.
Accountabilities
Creates schedule for providers in clinics and covering hospital rounds for practice(s): including various practice-specific services. This includes production planning by dividing providers among the clinics evenly to match patient load and to monitor number of physicians off so that adequate coverage is maintained.
Handles all changes to the schedule and sends out updates to the correct people, internally and externally. This includes changes to the schedules for new providers. Develops new provider orientation schedules.
Manages individual calendars and meetings for all providers.
Creates templates in physician scheduling system for staff to use for patient cares.
Communicates with leaders in decision making pertaining to provider schedules.
Tracks monthly assignments, time off and call schedules for all providers.
Creates weekend and weeknight calls schedules.
Production evaluation - continually monitors schedules for access. Adds availability when needed and sends out direction to scheduling staff to keep access at an adequate levels.
Attends scheduling committee meeting, prepares agenda and minutes, meets with administrative and physician leadership throughout the month to discuss and advise on scheduling topics.
Create/adjust the proper templates in EHR scheduling system accurately to reflect finalized schedule assignments. This includes adjusting provider templates to reflect any operation changes, including: scheduling/executive committee changes and/or day-to-day provider adjustments as approved by PM or POM.
Supervisory/Management Responsibilities
This is a non-management job that report to a supervisor, manager, director or executive.
Minimum Requirements
High diploma or GED required. Bachelor's degree preferred.
2 years of healthcare timekeeping experience.
Healthcare related experience preferred.

In Lieu Of The Minimum Requirements Listed Above
In lieu of 2 years of healthcare timekeeping experience, will consider associates degree and 1 year of healthcare administrative experience.
Other Required Skills and Experience
Previous experience with healthcare related scheduling and computerized management of schedules preferred.
Provider engagement experience preferred.
Working knowledge of medical terminology preferred.
