Job Summary

This position provides leadership for the Provider Resource Center and directly manages Provider Resource Center staff. This position manages team members who provide daily customer service and transactional guidance to providers located in multiple locations.

This also includes monitoring MyHR in-baskets and processing transactions of provider related concerns; managing the tracking and escalation of provider cases via the Case Management tool. This role supports work flow and distribution as well as resolution for special projects and process improvements. This role also directly resolves escalated provider issues regarding a broad range of HR operational, system and employee data concerns.

Responsible for the daily performance of the team for their assigned functional area. In addition, serves as a focal point to enable effective implementation, sustainability and overall consistency of system-wide practices and system utilization. These programs and this support will increase the productivity of Physicians and Advanced Practice providers by enhancing their knowledge of the applications and practices.

Essential Functions

  • Provides oversight of all job duties and manages the performance of the Provider Resource Center team members, inclusive of but not limited to Provider record creation, maintenance, and audit of standardized transactions, Ask MyHR support via the Case Management System, and ACD Phone coverage.

  • Selects and oversees the training of new team members and provides input on the performance of staff. Helps to schedule staff in accordance with department needs.

    Provides daily direction and supervision to staff. Works with HR Resource Center senior leadership to set goals for individuals and for the team. Acts as a mentor and coach and provides support for staff, as needed. Leads meetings with staff to share news, discuss topics, and provide a platform for staff to raise issues to leadership.

  • Responsible for managing escalating issues and communicating concerns to Provider Resource Center senior leadership. Makes process improvement recommendations regarding workflow and completion of staffs daily assigned tasks.

    Coordinates and monitors team member assignments and workload ratios to accomplish the most effective use of resources. Continues to monitor program for innovative process improvements.

  • Create and monitor reports for use in providing updates on Provider Resource Center teams progress. Monitor quality assurance and ensure excellent service levels to all stakeholders. Provide team support and resolution for escalated customer issues.

  • Design, provide, and supports training of new and existing team members on HR knowledge, processes, and procedures specifically related to Physicians and Advanced Practice Providers. Design, provide, and support training to stakeholders both proactively and on a case-by-case basis on Provider Resource Center knowledge, process, and procedures.

  • Works with HR Shared Services senior leadership and Physician HR team closely to understand long-term strategy and execute implementation of programs, systems, and processes. When change or impact is on the HR system of record or HR operations procedures, provides approval on all changes and provides training to all impacted parties and/or guidance to staff to conduct training7.

    Serves as a core member in HR strategies and projects representing HR operations and employee data and system requirements including all merger and acquisition projects. Serves on critical forums to ensure HR needs are effectively addressed and are executable.

Minimum Qualifications

Knowledge, skills and abilities as normally obtained through the completion of an Associates degree in Business, Human Resources or related field, or equivalent working knowledge.
2-4 years of experience in an Information Specialist or similar role HR experience or project management. Must have excellent communication skills. Proven customer service and leadership skills to effectively interact with internal and external customers and client services team, as described above. Strong analytical and problem-solving skills, proactive mind-set and ability to multi-task. Must have a strong knowledge of HR related systems to create and generate reports, as well as retrieve and track reporting data. Must have proven success working in a high volume, multi-faceted position that requires exceptional customer service, critical thinking, attention to detail, and multi-tasking. Outstanding customer service skills, ability to remain calm under pressure and to handle confidential information appropriately. Significant knowledge and understanding of Human Resources and related functions including payroll, benefits and compensation.

Preferred Qualifications

Prior management experience preferred.

Additional related education and/or experience preferred.

Grand Canyon University is currently seeking a Veteran's Resource Center Manager. This position is responsible for developing and executing a comprehensive program of services and outside resources to ensure the well-being and success for student veterans primarily but includes all military connected students.
