We are seeking a talented, energetic, and dynamic Proposal Writer to join the Solution Engineering Team, with a primary responsibility of creating engaging, consumable content for a broad range of stakeholders. This role will necessitate interaction with a range of leaders across our Sales, Product, and Marketing departments - requiring a collaborative, driven mindset to take strategic and technical information and transform it into clear and compelling Avetta differentiators. Curiosity, continuous learning and problem-solving will play a large role in this candidate's success. Our ideal candidate should exhibit strong communication skills, flexibility, passion, and a desire to identify and take ownership of critical projects.

JOB RESPONSIBILITIES

Proposal Development

• Analyze and understand RFP, RFI, and RFQ requirements to guide strategic proposal messaging, aligned with Avetta's branding and messaging standards.

• Develop, create and maintain supporting proposal documentation, such as proposal templates, suggested question sets, and proposal process documentation.

• Challenge: We have historically provided "standardized" responses to proposals, due to content limitations and capacity restraints. This individual will be tasked with creating a proposal customization standard, defining the process by which core content should be tailored to highlight industry, client and supplier values unique to the proposal at hand.

Content Development

• Collaborate with subject matter experts across the organization to gather technical and process details, transforming information into powerful, tailored text.

• Craft proposal responses that highlight Avetta's strengths and differentiate us from competitors, ensuring responses align with current sales and marketing strategies.

• Support refinement of product and process descriptions, focusing on customer-focused messaging, clearly defined use cases and benefits / value creation.

• Develop clear and concise documentation for company processes and workflows.

• Challenge: Written content support is likely to extend beyond proposal responsibilities, providing this individual the opportunity to support new areas of the business, while honing new sales and marketing skillsets to bring greater value to the business.

Content Management

• Maintain and update the current proposal response library. This includes responsibility for content creation and ongoing management - ensuring the library is regularly updated and well-organized so responses are easily accessible to Avetta stakeholders.

• Proactively review new product introductions, release notes and Solution Engineering communications to assess impacts to proposal content and make required changes.

• Challenge: The current proposal library is highly outdated and will require a heavy up-front lift to align with current offerings, go-to-market strategies, and target audiences. This individual should look forward to a content review, consolidation and re-write effort.

Collaboration

• Collaborate with Proposal Manager to ensure adherence to defined deadlines.

• When Proposal Manager is out-of-office or as capacity demands, the Proposal Writer will provide backup coverage for project-management related tasks, such as establishing project deadlines, uploading and assigning projects, chasing stakeholders for responses, exporting and formatting our final deliverable, etc.

• When responses or content does not exist, partner with the extended organization to gather insights from relevant subject matter experts, and then create the appropriate documents so the processes, workflows, and diagrams are available for future use.

• Challenge: While we have standard turnaround times in place, this role must be flexible and dynamic, allowing the individual to respond to quick-turn proposal requests for critical opportunities. As such, the individual best suited for this role will be able to juggle planned, project-based work (50% effort) as well as urgent ad-hoc requests (50% effort).

Efficiency Systems

• With support of the Proposal Manager, administrate and maintain a SaaS-based proposal library solution, ensuring the organization and accessibility of proposal content.

• Leverage in-platform features to categorize, tag, etc. Q&A response pairs to increase searchability, utilization and reporting capabilities of existing proposal content.

• Challenge: While we have an existing proposal library provider, we do not believe we are using the tool to its full functionality, rendering much of our proposal data unobtainable. To support Sales and Product insights on proposal trends, focus areas, and challenges - we must adopt and align additional features within the software.

Market Awareness

• This individual will complete a 6+ week onboarding program, in addition to joining ongoing weekly team trainings. As such, this individual will be expected to understand Avetta's market, product, buyers, and differentiators to support robust content development.

• Maintain up-to-date knowledge of industry trends, enterprise architecture framework and information security best practices and common global regulations and certifications.

• Challenge: As consolidators of information, we have often gathered critical data from across Avetta stakeholders, but failed to share our findings with others who could benefit from re-using the strategic data in their own projects. This individual should act as a conduit for field feedback, enabling other departments access to key customer insights.

REQUIREMENTS

• 5-10 Years' Experience as a Proposal Writer, Technical Writer, or similar role.

• Bachelor's Degree in English, Journalism, Communications, Marketing, or related field.

• Excellent written and verbal communication skills, with the ability to consolidate multiple viewpoints and convey complex technical concepts in clear, persuasive language.

• Ability to collaborate effectively with various departments and subject matter experts.

• Familiarity with project management and proposal development tools.

• Familiarity with Salesforce, Tableau, PowerBI and other reporting tools a major plus.

• Basic knowledge of IT / infrastructure, data security architecture strongly preferred.

• Health and Safety, Risk Management, Procurement or Sustainability experience is an asset.

• Occasional availability outside standard working hours to accommodate global stakeholders.
