How you'll make an impact
The HRCC team is looking for a Proposal Writer to join their growing practice.
This person will be responsible for providing support to all of our consulting service lines in preparing proposals, RFP responses, legal documentation and insurance certificates and fielding warm leads that come in via phone and website. Overall, this position will support the Senior Proposal Writers, ensuring that all practices and service lines can meet their daily and ongoing proposal needs. Initial focus on routine/templated proposals, with RFP response development as a later goal upon demonstrated proficiency. Familiarity with RFPio, or other proposal management software, is a plus. Additionally, candidates with experience in data visualization and/or graphic design are welcome.
This position will also be responsible for data and pipeline reporting and management, with particular focus on company pipeline activity.
Duties include:
Interface with consultants to determine proposal requirements, review drafts, and submit to client
Craft clear, concise, and well organized proposals in a timely manner, meeting internal and external deadlines
Track proposal letters and new opportunities in our Client Relationship Management (CRM) system with regular communication to BD & CRM Data Manager
Archive all proposals for future reference
Ensure brand standards are adhered to and maintained across all proposals for all service lines
CRM Data Management:
Responsible for account and contact data verification, ensuring that all front-end information is entered as accurately as possible into the CRM system.
Run bi-weekly opportunity pipeline reports and distribute Follow up with consultants to ensure open opportunity records are accurate; close out lost opportunities; adjust estimated sale dates on past-due opportunities
Coordinate with consultants to forecast recurring opportunities and create appropriate records/tasks/follow up in CRM system
Proficiency in all front-end CRM entities (Accounts, Contacts, Opportunities) and all related functions, such as SharePoint, Closed Activities, assigning tasks, uploading finished proposals, and tracking emails as appropriate
Compliance:
Responsible for facilitating legal review of client-side documents to ensure compliance with all company legal requirements
Create Master Agreement documents for new client projects that are not covered under agreement, provide document to consultant, track progress and completion in CRM system
Follow up with consultants regarding past-due Master Agreements to maximize legal compliance and facilitate any client requested changes through legal review
Facilitate Certificates of Insurance for prospects and clients
Run bi-weekly compliance reports and distribute via portal
Marketing:
Create, update, and edit staff biographies
Manage staff headshots
Quarterly collection of bio changes for HRCC's team web page
Run monthly marketing campaign ROI reports
About You
Required:
Preferred:
Minimum of one year experience in an office or administrative support role
Ability to effectively organize multiple tasks and meet all required deadlines
Strong analytical skills and editing and writing skills
Commitment to actively develop technical writing skills
Focus on accuracy and attention to detail
Excellent organizational skills
Ability to proactively take ownership and initiative to accomplish work assignments.
Excellent oral communication skills
Proficient with Microsoft Word, Excel, and PowerPoint; knowledge of CRM preferred.
