Job Description

The Bid & Proposal Coordinator will help support the senior proposal coordinator in the submission of winning proposals. In this role, the coordinator will work with cross-functional proposal team members to help respond to Request for Proposals (RFPs), Request for Quotations (RFQs), Requests for Information (RFIs), and help orchestrate standard proposal processes to ensure on-time delivery of compelling, compliant, and well-written proposals. This role will successfully communicate and collaborate with various internal stakeholders including executive leadership, assigned project teams, and external partners as required.

Duties & Responsibilities

Upon receipt of the RFP, the proposal coordinator makes sure the following actions are taken:

  • Manages Sales Force for tracking.

  • Creates and maintains master folder and attaches supporting RFP requirements and supporting data to ensure proposals meet all the requirements of the request for quotation/proposal.

  • Distribute RFP link to the appropriate personnel and to the directed distribution team for review.

  • Allow 3 days to analyse the RFP sections and for the BD Director or Program Manager to prepare a Bid Decision

  • Coordinate an Opportunity Gate Review (OGR) or Kick-off meeting as appropriate, to discuss the bid decision and share any intelligence gathered about the opportunity.

  • If a decision to bid is made, distribute and schedule kick-off meeting to further discuss bid requirements, timeline, and strategies to facilitate the delivery of the proposal on time.

  • Gathers any historical data to support the internal review.

  • Tracks the fulfilment of all requirements.

  • Supports the business documentation writing.

  • Conducts regular proposal progress status meetings and maintains the proposal schedule.

  • Collects bid data from the internal teams, reviews/edits bid approval packages to ensure compliance to Executive leadership standards, board and parent as required by the DOA.

  • Once bid submittal is approved collaborates with the contracts team for customer submittal.

Additional Support:

  • Assist in maintaining Proposal Processes, Work Instructions and Templates

  • Support inside sales/standard products with bid analysis over a certain dollar limit per the DOA and customer requested modifications, etc.

  • Other related tasks, as assigned.

The Individual

Technical Knowledge, Skills and Abilities:

  • The coordinator must exhibit excellent communication and coordination skills

  • Strong writing skills with attention to detail

  • Ability to work under strict deadlines, acting both independently and collaboratively

  • The successful candidate is expected to be a self-starter and multitasker who works well under pressure and follows through on tasks

  • Ability to delegate and follow-up with assigned proposal teams and proactively keeps the team informed of relevant information

  • Proficiency of word processing software, especially Microsoft Word, PowerPoint, Excel

  • Knowledge of Salesforce, SharePoint, Oracle and Agile systems a plus

  • Knowledge of government requirements, proposal and cost analysis is a plus

Experience:

  • Minimum of 3-5 years with proven experience in proposal coordination or a similar role.

  • Experience with proposal writing and development.

  • Experience in a manufacturing environment.

  • Experience working in the aerospace and defense industry a plus.

Education: Degree or recognized Trade Association equivalent in Business Administration, Marketing, or a related field is a plus.

Security: U.S. person or permanent green card holder required. May be required to obtain a security clearance.
