JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Department of Ecosystem Science and Management seeks a Proposal and Award Generalist to perform duties which span the full life cycle of sponsored programs from pre-award responsibilities such as identification of funding sources and assistance with proposal preparation and submission, to post-award administration of gifts, grants, cooperative agreements, and contracts from external/internal funding sources like federal agencies, state agencies, private companies, and foundations. The Proposal Awards Generalist will need to learn how to use multiple internal and external electronic research administration systems to assist faculty in grant preparation as well as provide reports and gather information for the department.

This position will complete pre-award functions such as:

  • Review notices of intent and solicitations for grant proposals, identify funding opportunities relevant to the department, and communicate opportunities and sources of funding to Principal Investigators (PIs).

  • Assist PIs with the preparation of proposals, including but not limited to drafting budgets, budget justifications, bio sketches, current and pending support, conflict of interest statements, and facilities & equipment summaries.

  • Assist the Office of Grants and Contracts with proposal and award processing, as well as obtaining approvals for cost sharing, financial risk, advanced fund numbers, etc.

  • Review proposals for sponsor compliance (format, page limits, file names, etc.), adherence to guidelines and proposal preparation checklists.

  • Review document to ensure compliance with university and sponsor guidelines.

Also, this position will handle post-award functions such as:

  • Provide PIs with monthly financial reports for their awards. Review reports with them and advise on budgets to avoid deficits and promote timely spending.

  • Reconcile expenditures to the award ensuring that spending is allocable, reasonable and allowable. Identify any non-standard cost items that require approvals and documentations and assist PIs in completing such documents.

  • Assist PIs with any changes to awards, such as no-cost extensions, budget revisions, changes of personnel, etc.

  • Distribute and re-distribute salaries to grants in an accurate, allowable and timely manner to minimize journal entries and cost transfers. Complete cost transfers, journal entries and other financial transactions as required.

  • Monitor awards to assure deadlines and reporting requirements are met. Assist PIs with the submission of reports.

  • Inform faculty and departmental personnel of contractual requirements, and ensure the award is executed in compliance with university guidelines. Take all necessary actions to close grants on time.

Other duties include:

  • Obtain ACES certification (ACOR Certification and Education Series).

  • Attend monthly education and training meetings with the Office of Grants and Contracts; participate in monthly Administrative Managers/Financial Assistant Managers meetings, annual ACOR retreat (Administrative Committee on Research) and other research administration offerings.

  • Provide training to other personnel in the department on topics that cover the breadth of research administration.

This position offers a flexible work arrangement that combines remote and on-campus work. Questions related to flexible work should be directed to the hiring manager during the interview process.

Education and Training: This position will be filled at the Professional level and requires an associate's degree or an equivalent combination of education and experience.

The salary range for this position, including all possible grades is:

$42,100.00 - $61,000.00
