Overview

Salary range: $75,000-$100,000 annually, plus potenial for commission and bonus.

The Property Manager is responsible for the day-to-day operations of their assigned property and manages team members and resources to ensure the property functions and goals are met in accordance with Holland Partner Group's Core Values.

Responsibilities

  • Manage all phases of community operations under the direction of the Regional Manager.

  • Ensure all staff is motivated, functions as an effective team, and provides an exceptional customer experience.

  • Maintain a proper inventory of supplies and tools sufficient for providing service and maintaining the property, both in the administrative office as well as the maintenance department.

  • Oversee the Maintenance Manager in administering a preventative maintenance program that minimizes emergency repairs and service requests.

  • Conduct community staff meetings and safety meetings on a regular basis.

  • Develop and support property budgets, marketing plans and reforecast.

  • Handle all resident issues in a timely manner to ensure an exceptional customer experience.

  • Oversee and support the Point of Sales process to ensure compliance with the program.

  • Review and approve or reject resident applications, leases, renewals, and move-in documents.

  • Actively participate in pricing and owner calls and discussions to ensure the property is meeting or exceeding benchmark expectations.

  • Ensure the timely and accurate completion of various daily, weekly, and monthly reports.

  • Understand, support, and apply principles of Fair Housing and Landlord-Tenant Laws.

  • Work with the Sales Team to increase property income, resident retention, and lease renewals, and encourage sales on other income opportunities, through the Point of Sale Renewal program.

  • Participate in Market Surveys, Quarterly Competitive Market Assessments and Outreach Marketing activities to support the success of the property.

  • Manage the property relationship with the Community Operations Team.

  • Regularly inspect the community to ensure Holland Residential standards are met and offer recommendations for community capital improvements or repairs.

  • Represent Holland Partner Group in a professional manner at all times.

  • Conform to company apparel standards and set a positive example for all Associates.

  • Perform all other duties as directed and assist the overall team effort in any way possible.

Qualifications

Education: High school diploma or equivalent is required. A college degree in related coursework or equivalent years' experience strongly preferred.

Experience: Minimum of three years' experience in residential property management required. Two years of internal experience and additional comparable managerial experience may be considered in lieu of three years' industry experience.

Knowledge, Skills and Abilities Required:

  • Skilled in marketing and budgeting with sales or multi-family leasing and/or product sales.

  • Knowledge of unit turn, maintenance, grounds keeping, painting and landscaping.

  • Ability to work effectively with all levels of employees while inspiring respect and credibility.

  • Skilled in supervising and motivating others to ensure property goals and objectives are met.

  • Knowledge of Fair Housing and Landlord-Tenant Laws.

  • Excellent communication, organizational and leadership abilities.

  • Proficient in Microsoft Office suite and a familiarity with on-site software systems. Yardi preferred.

  • Strong customer service, diplomacy, and crisis diffusion skills.

  • Financial understanding and ability to formulate strategies based on property data

  • Good verbal and written communication skills.

  • Ability to accurately perform basic to intermediate mathematical functions.

  • Ability to accurately perform multiple tasks in a complex and fast-paced operating environment.

  • Ability to understand and clearly explain legal documents.

Attendance: This full-time position is exempt and requires the ability to be present and available during business hours to meet company and department needs. Additional hours or flexible schedule may be required.

This position also requires:

  • Ability to lift or move up to 20 pounds.

  • Hearing and visual ability to observe and detect signs of emergency situations.

  • Fluency in English both verbally and non-verbally.

Performs work of subordinates as needed.</p><p>Essential Duties and Responsibilities include the following. Other duties may be assigned.</p><p>Interview, hire, develop, counsel or discipline, and terminate, employees as needed in accordance with company's policy.</p><p>Review daily job performance, communicating positive reinforcement as well as addressing work deficiencies as they occur.</p><p>Perform written evaluations of employees at designated intervals; including annual performance reviews and annual goal setting.</p><p>Maintain records and distribute reports when applicable to Regional Portfolio Manager and Human Resources.</p><p>Create and execute weekly performance goals.</p><p>Responsible for the supervision and development of employees including but not limited to: Planning and preparing work schedules; assigning employees specific duties; direct and train on procedures and processes related to safety; AP Policy; including PO system and expense management; fair housing; leasing; rent collection including receiving and posting deposits and handling all AR functions; locking and securing office; and other day-to-day property activity including maintenance and administrative functions.</p><p>Manage training and development attendance.</p><p>Conduct team meetings and daily team huddles.</p><p>Ensure compliance of employees with established security, recordkeeping procedures, practices and company policies including but not limited to: job duties, attending required training or meetings and on-line required classes, time and attendance, electronic communications, accounting systems, and computer systems.</p><p>Monitor and approve accurate payroll records as required by the company, schedule and enforce required breaks and rest periods, for employees in accord with company policy and law.</p><p>Monitor and schedule overtime and on-call in accord with company and owner directives.</p><p>Review and manage commission policy and procedure.</p><p>Actively participate with Marketing Department, and Regional Portfolio Manager in leading the staff with advertising, outreach marketing, leasing, and community contacts to maximize occupancy to include: following the direction of the Marketing Department to Develop, Manage and review all Social Media and Reputation Management programs.</p><p>Maintain collections and delinquency level in accord with owner directive.</p><p>Manage and meet deadlines for write offs and rent collections.</p><p>Review and manage property leasing goals, gross profit, purchasing, move-out deposit refunds, petty cash, and actual payroll versus budget on a daily basis making adjustments and corrections as needed according to company policy.</p><p>Respond to residents'/tenants' and owner; concerns or inquiries in a timely and courteous manner.</p><p>Responsible for community development and housekeeping in accord with company standards and adhere to all company personnel directions concerning operations and procedures including but not limited to: budget management, revenue management, accounting system, computer system, customer satisfaction; resident retention/resident activity.</p><p>Oversee or manage all details of resident move-ins and move-outs giving special attention to apartment inspections, utilizing in-house employees or outside contractors/vendors as needed.</p><p>Responsible for Safety Meetings and Community Inspections: Conduct safety meetings with staff in accord with company policy--minimum monthly. <br><br> Conduct community property inspections in accord with owner and regional requirements which may include daily, weekly, monthly and quarterly inspections--document deficiencies, corrective action and improvements. Report to Regional Office.</p><p>Prepare required reports including but not limited to: annual budget, business plans, weekly/daily reporting, monthly variance explanations; monthly AR close, market surveys and incident reports.</p><p>Maintain ongoing, current knowledge of competition including in-person shops of competition in accord with regional requirements and translate knowledge into a benefit for the community and actively participate with the staff, Marketing Department, and Regional Portfolio Manager in advertising, leasing, and community contacts to maximize occupancy, revenue and ownership goals.</p><p>Adhere to professional dress code.</p><p>Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. <br><br> The requirements listed below are representative of the knowledge, skill and/or ability required.
