JOB SUMMARY: This position directly oversees numerous responsibilities at offsite properties to include routine maintenance and janitorial services. Manages and tracks work orders, working closely with Facilities staff, landlord representatives, building and trade professionals.
Participates in Environment of Care rounds helping to track corrections to findings. Performs additional rounds on a rotational basis with Medical Center, Medical Network and Facilities leaders to assess overall compliance with landlord terms and conditions and specific regulatory requirements. Participates in development of annual operating and capital budgeting.
Engages with Project Management team as a liaison between landlord and tenants on capital or cosmetic refresh projects. Periodically engages in project management and space utilization at specific properties. Performs routine and comprehensive administrative tasks ranging from routine to complex in nature, all under general or minimal supervision.
JOB SPECIFICATONS: A. EDUCATION Bachelor's degree in healthcare preferred. Healthcare or commercial property management preferred or related facilities experience working with building professionals and trades is required.
B. EXPERIENCE A minimum of three years progressively responsible experience in healthcare property management preferred or commercial facilities related experience required. Experiences with computer software, preferably in a windows environment and at an intermediate to advanced skill level, with such applications as word processing, spreadsheets, tables, graphs, and database management. Working knowledge of property leases, terms and conditions, oversight of maintenance and janitorial and sound relationships with landlords preferred C.
PREREQUISITE SKILLS 1. Intermediate to advanced user of Microsoft Word; skill in Excel or other spreadsheet applications; experience with databases that organize, maintain, and report data. 2. Demonstrated interpersonal skills necessary to deal effectively and courteously with a diverse group of internal and external callers and visitors 3.
Ability to work collaboratively with team members, hospital staff, physicians, landlord representatives, vendors, contractors, and outside agencies 4. Limited knowledge of medical terminology may be required 5. Demonstrates analytical skills to handle non-routine, complex administrative duties, data, and non-routine projects 6.
Ability to work independently, coordinate multiple priorities, problem-solve, and meet deadlines with minimal supervision 7. Demonstrates ability to organize and prioritize work for the department, including experience in general facility procedures to include work order and vendor management. 8. Demonstrates skill in handling confidential, politically sensitive, or community issues in a professional and ethical manner 9.
Preferred knowledge of construction terminology and familiarity with codes, regulations and standards for hospitals, such as The Joint Commission, OSHPD, CalOSHA, and Life Safety codes 10. Ability to effectively supervise the coordination of projects including directing the work of others. LICENSE/REGISTRATION/CERTIFICATION:
Familiarity with property lease databases preferred DUTIES AND RESPONSIBLITIES: A. ESSENTIAL (not modifiable) 1. Manages all routine and preventative maintenance activities via work order systems, emails and other correspondences from leaders in conjunction with Medical Center Facilities Engineering, Owner or Landlord representatives. 2.
Ensures proper reporting and performance of preventative maintenance items in line with the operating budget plan and master preventative maintenance schedule for each location. 3. Manages Janitorial contract (s) for facilities directly under MarinHealth and or oversees meeting of janitorial and building standards of janitorial services provided through owner or landlords per terms and condition of lease. 4. Ensures quality measures are in place for maintenance and janitorial services along with a rounding and inspection schedule adequate to meet building and regulatory standards that provides a level of satisfaction to end users. 5.
Issues quality reports on maintenance and janitorial services no less than quarterly 6. Participates in tenant and building improvement, construction projects, and capital expenditure projects to ensure they are performed in accordance with building standards, local code requirements and landlord lease terms and conditions. 7. Participates in leasing administration including abstraction of leases, tracking letters of credit, monitoring option dates and upcoming expirations.
Maintains understanding and knowledge of facility requirements per building or location as documented in the terms and conditions of leases and extrapolated per the leasing tracking system. 8. Maintains a master listing of key contacts for owners and or key property personnel, property addresses, vendors, contractors and key resources necessary to maintain safe facilities. Update as changes identified to keep current. 9.
Maintains cost reporting for maintenance and janitorial related costs to include supplies. Works with leadership to reconcile against monthly budgets and participates in preparation of annual budgets and strategic assets of properties. 10. Escalates operational issues in a timely manner if unable to solve on own or with supporting team members. 11.
Serves as primary communicator to owner, landlord, and tenant representatives for maintenance, janitorial and project related activities. Ensure that patient and staff impacts are at a minimum. When impacted, work with end users on alternate use of facilities. 12.
Participates in safety, security, regulatory and risk related assessments to include accessibility, actively engaging in identifying patterns and trends. Ensures non-compliance corrections completed. 13. In partnership with Safety and Security, develops standardize emergency and disaster response guidelines for offsite facilities.
This includes the development of policies and procedures where required. 14. Participates in acquisition or disposition of rental properties, rental rate modifications, tenant and prospective tenant occupancy intentions and lease compliance. 15. Composes and prepares memoranda, correspondence, charts, graphs, tables manuals, flyers, reports, and various forms either from rough draft, brief instructions, and/or own gathered and researched data.
Accurately proofreads and edits drafts and final copies of material by adhering to established formats, policies, and procedures. Designs, implements, and streamlines property office procedures. 16. Receives, handles, screens and transfers phone calls in a prompt and courteous manner.
Provides routine and non-routine assistance, guidance, and direction according to departmental and hospital policies. Directs complex, urgent, or sensitive issues to supervisor. 17. Appropriately maintains and efficiently handles confidential information such as property lease terms and conditions, insurance detail, facility operating expenses and planned strategies.
