Position Overview

Responsible for efficiently coordinating all Specialty Leasing activity for Ala Moana Center and maximizing Specialty Leasing programming. Uphold the Center's strategic plan and company visual standards. Serve as liaison between internal business units, General Managers (GMs), Operations Managers (OMs), Group Business Development Representative (GBDR), Tenant Coordination (TC), National Accounts and Retailers, and Contractors to ensure effective communication, coordination, and programming of Specialty Leasing activity for the Center.

Key Responsibilities:

Deal-Making, License Agreement and Salesforce Administration

  • Refer all walk-in, call-in and email prospects to GBDR

  • Manage all storage leasing (new deals and renewals) and local vending renewals from canvassing and initial inquiry through execution and move in

  • Review all Specialty Leasing Applications for completion, accuracy and supplemental documents

  • Accurately enter all deals into License Agreements for approved Specialty Leasing Merchants, track approvals and obtain Licensee and Licensor signatures

  • Execute deals in Salesforce and upload fully executed agreements to Salesforce and M-Drive

  • Respond to National RFS (requests for space) at GBDR's direction

  • Submit DRQs and Write-Offs as needed

  • Submit monthly holdover requests for any open lease IDs that will not be closed or renewed prior to current expiration

  • Submit closing store activity for all closed Merchants

  • Assist with administration of Monthly Assessment Plan at GBDR's direction

Coordination of Merchant Move-Ins and Move-Outs

  • Communicate details with Operations, Security, Marketing and Guest Services and visual merchandising contractors by sending team notification email and discussing in weekly operations meeting

  • Ensure Merchants meet all criteria prior to turning over possession and/or opening for business including documentation, financial and operational requirements

  • Submit service requests for Maintenance to prepare and install or remove RMU

  • Coordinate tenant selection of RMU fixture as needed

  • Ensure closing requirements are met including Notice of Work, closing and vacating dates, final walkthrough, collections/refunds as needed

  • Return all keys to Operations for cataloging and storage in lockbox

  • Ensure vacant RMUs are properly merchandised with approved leasing or marketing signage

  • Issuing letters of default, termination, rescind termination, etc.

Monitor Merchant Activity and Compliance

  • Be familiar with the Center's visual merchandising and operations guidelines

  • Ensure Merchants adhere to those guidelines, and address violations as observed

  • Address all violations as reported by Security, Guest Services and Management Office

  • Deliver action notices for tenant violations as well as complete and submit invoice for billing of any applicable fines

Tracking Merchant Metrics

  • Collect monthly sales reports from all Merchants

  • Input sales figures into tracking spreadsheet

  • Bill tenants for overage or percentage as needed

Accounts Receivable Administration

  • Manage collections to minimize accounts receivable

  • Collect tenant rent and follow up with delinquent tenants directly as needed

  • Process one-time and recurring credit card payments

  • Facilitate reconciliation of accounts receivable by preparing monthly response to A/R report that analyzes total dollar amount and percentage, and provide updates on tenant balances

Guest Relations

  • Monitor Medallia and ICUC inbox on assigned day

  • Resolve any Specialty Leasing-related issues as assigned

  • Escalate issues to AGM and/or GBDR as needed

Office Administration

  • Maintain updated files for each Merchant, and ensure files are compliant with auditing guidelines

  • Maintain directory of all Specialty Leasing tenants

  • Distribute quarterly updates of Specialty Leasing Merchant Listing to Operations, Security, Marketing and Guest Services

  • Maintain directory of all storage units and occupants

  • Forward all Certificates of Insurance received to TransGlobal Adjusting

  • Review Specialty Leasing Merchant Handbook annually and complete any necessary updates

Other Duties

  • Promote BPR Tenant Insurance to all Merchants

  • Submit service requests for Maintenance and Team Clean assistance as needed

  • Participate in weekly operations meetings

  • Participate in monthly PMA calls

  • Participate in monthly team leasing meetings

  • Other duties as assigned



  • Bachelor Degree preferred

  • 2 Years of Experience, preferably in Retail or Real Estate, Project Coordination, Marketing, Event Planning, Accounting and Sales

  • Must be able to work in a fast paced, highly dynamic work environment

  • Excellent interpersonal, organizational, time management, oral and written communication skills

  • Ability to work and learn independently and in a team situation

  • Ability to deal with multiple projects and tasks effectively and establish priorities with flexibility

  • Strong attention to detail and ability to follow through

  • Self-motivated, pro-active individual with a positive attitude

  • Ability to read and understand standard business documentation (e.g. contract language)

  • Excellent PC, Excel, MS Word, PPT, Adobe, Publisher, and Social Media

The Manager provides direct management of Lead OPC Agents, OPC Agents and marketing support team members and establishes and maintains marketing strategies to meet organizational objectives. ESSENTIAL JOB FUNCTIONS * Recruits, trains, evaluates, coaches, monitors, mentors, and motivates OPC team members. * Consistently achieve OPC department's monthly/annual tours and sales goals as outlined by senior management. * Leads department initiatives that will increase productivity to achieve monthly/annual production goals, while maintaining a positive work environment. * Initiates weekly one-on-one training with OPC team members and holds monthly staff meetings/trainings to ensure department goals are being met. * Trains team members to accurately and effectively deliver a branded and scripted marketing script and area information. * Trains team members on the efficient use of marketing software systems. * Maintains total site marketing penetration as directed by senior management. * Holds team members to individual minimum weekly tour production standards, as set forth in agent compensation plans. * Regularly communicates challenges and solutions to upper management. * Communicates and coordinates any new initiatives or changes in marketing programs (booking/gifting policies) with sales management. * Ensures OPC team members and locations represent high standards of quality: appropriate and approved work attire on at all times, practice good hygiene for individuals, and professional appearance and organizational cleanliness of locations. * Ensures OPC team members consistently have all tools and collateral to perform their job stocked at their respective locations. * Creates weekly schedule and consistently distributes to team members by the Friday of each week for the following week. * Runs and compiles daily, weekly and monthly reports as directed by management. * Processes, reviews and submits accurate team member payroll (including timely approval of paid and unpaid time off requests) in a timely manner using the Company's time management system. * Responsible for attending all In-House, Regional, and staff meetings and trainings, as requested by management. * Responsible for completing all required Company trainings and compliance courses as assigned. * Adhere to Company standards and maintains compliance with all policies and procedures. * Perform other related duties as assigned.
