Job Summary:
The Property Management Assistant is an hourly position reporting directly to the Property Management Manager. The Property Management Assistant is responsible for supporting Property Management. Primary responsibilities include: providing excellent customer service; responding to customers needs; all aspects of leasing; and completing corporate mail clerk duties.

Essential Functions:

Leasing:

  • Meets with customers face to face

  • Provides customers with lease application and explains to customer needed documentation to meet lease requirements

  • Works with third party to complete credit checks

  • Ensures lease is properly filled out, has required supporting documentation and is signed by leasee

  • Accepts and processes payments utilizing Property Management automated system

  • Completes property inspections

  • Coordinates leasee move in and move out dates, including evictions

  • Monitors rent roll reports, weekly and proactively communicates with customers regarding lease renewals or overdue lease payment

  • Documents communication events in information system

  • Coordinates with local law enforcement for matters such as evictions, tenant conflict, security events, etc

  • Completes Lock/Unlock service for customers

  • Understands and adheres to rules and regulations for leasing

  • Understand and adheres to rules and regulations for collections

Customer Services:

Establishes and sustains a culture that strives to meet or exceed customer expectations. Specifically:

  • Answers phone in a polite and professional manner

  • Proactively partners with Property Management Manager to develop value-added customer service programs, in accordance company standards

  • Proactively works with Property Management Manager to develop new rental promotions and newsletter that reinforce the company commitment to customer service

  • Proactively communicates to new customers about rental promotions

  • Proactively communicates with customers about overdue lease payments and, when applicable, pending evictions

  • Completes and delivers daily deposits

  • Coordinates corporate birthday celebrations and assists with events such as National Night Out, Food Drives, etc.

  • Orders and maintains office supply inventory

Mail Clerk:

Manages the postage, processing and handling of mail and packages

  • Using online automated system prepares daily outgoing mail and packages with proper postage

  • Using online automated system schedules pickup of express service outgoing packages

  • Ensures daily pickup and delivery of mail and packages

  • If pickup does not occur, is to take mail/package to process center such as local post office, Pak mail, etc.

  • For non- pickup of US Mail and other issues

i. communicates with local post master ii. utilizing automated system reports issue and continues to follow up until resolved
4.Maintains inventory of mail supplies and ensures proper inventory

Safety and Security:

  • Coordinates with local health, safety, fire, and building inspectors to ensure compliance with all applicable codes and regulations

  • Recognizes and reports to maintenance conditions which may create security and safety hazards

  • Understands and adheres to policies and procedures for leasing

All other duties as assigned

Required Knowledge, Skills, and Abilities:

  • Strong customer service

  • Ability to multi-task and be organized

  • Good time management skills

  • Ability to exercise good judgment

  • Ability to read, write, and understand information effectively

  • Valid State Issued Drivers License and operational personal vehicle

Education and Experience:

  • High school diploma/GED
  • One (1) year experience in customer service setting preferred

Physical and Environmental Conditions:

  • Must be able to sit for long periods of time

  • Must be able to lift and carry 30lbs

  • Must be able to push or pull 100lb cart
