The Property Administrator will provide first-class property management services and assist the Property Manager with day to day administrative responsibilities including Accounts Payable and Accounts Receivable, customer service, and enhancing tenant relations. Individual need strong administrative skills and prior experience in a similar role is required. Ideal candidate must have Yardi and MRI experience.

  • Administrative duties

  • Timely and accurate processing of Accounts Payable and Accounts Receivable

  • Property scheduling and communication with tenants and vendors


  • Accounts Payables coding invoices and verifying proper backup, forwarding to Property Manager for approval and entering into payables system.

  • Accounts Receivable prepare and send late letters on a monthly basis along and follow up for payment; preparing and sending default letters when necessary and also preparing paperwork for lock-outs as needed; refer accounts to Collections as necessary. Prepare deposits, take to bank for deposit and enter into system.

  • Prepare monthly/quarterly reports to be copied, bound and sent out to owners.

  • Answer telephone and screen calls for appropriate personnel; write up messages and deliver messages to personnel or voice mail; greet guests and notify personnel of incoming visitors; accept deliveries/packages; check Answering Service messages each morning and write-up and deliver as necessary.

  • Filing as necessary; prepare Lease Termination Forms, Write-off forms as necessary; create Vendor Files, prepare Aging Reports on a monthly basis; maintain Certificates of Insurance for vendors/tenants.

  • Receive work order request by phone or in person; write up work order, radio engineer, and distribute to engineers/janitorial; write up Security work orders and give to Security Guards; maintain office file of reports.

  • Schedule building activity including move-ins / move outs; verify insurance.

Performs office work directly related to property management and the general business operations of the association. Help to maintain the data of the amenity system access controllers. Prepares welcome letter packages for mail out, preparation of community email updates, newsletters and etc. Position Responsibilities * Ability to work flexible hours to include weekends. * Ensures that the telephone is answered properly, promptly and messages are handled courteously, accurately and in a timely manner. * Check call logs twice per day for open calls that need attention. * Maintains, updates and coordinates home owner information in computer database on a daily basis. * Collects mail on a daily basis. * Responsible for processing all incoming checks and Square Up. * Prepares move-in packages for new move-ins on a weekly basis. Audits move in reports on a monthly basis for unreported move-ins. * Maintains inventory of common areas keys, amenity access cards for residents and re-order as needed following established procedures. * Audit and eliminate duplicate and incorrect addresses in Connect. * Assists all other department coordinators including Amenities, Events, and Compliance as needed. * Other duties and projects as assigned. * Follows safety procedures and maintains a safe work environment. Operating Skills, Knowledge & Abilities Education/Training: High School Degree or equivalency required. Associates Degree in Business Administration or related field would be a plus. Experience/Knowledge/Abilities: Must have a friendly personality; possess good basic computer and customer service skills. One (1) to Two (2) years of customer service experience and a strong commitment to customer service principles and practices. A self-starter with excellent telephone skills. Good organizational skills. Computer Literacy: Intermediate proficiency in Microsoft Windows software. Ability to prioritize work with minimum supervision. Firstservice Residential Houston TX
