Hopewell Real Estate Services is a full-service third-party commercial property management company that oversees millions of square feet of industrial, suburban office, and retail properties for a diverse set of investors. We are currently seeking a Property Administrator to join our team in Calgary, AB.

In this role, you will expertly support the execution of all property management deliverables while providing high-level office administrative support to our Property Management team. This role is ideal for an aspiring Property Manager and offers the opportunity to learn all aspects of the commercial and industrial property management industry.

As our Property Administrator, your daily responsibilities will likely include:

  • Administratively support overall Property Management initiatives, building set ups, project management, etc.
  • Deliver a best-in-class customer experience to all internal and external partners including tenants, leasing teams, administration, accounting, marketing, operations, and building maintenance; Maintain positive relationships and ensure accurate, complete, and on-time delivery of all objectives.
  • Prepare all required lease administration documentation as required in a timely manner.
  • Maintain and update database with all tenant inquiries.
  • Offer tenant liaison and communication on day-to-day property management issues.
  • Maintain lease administration including account receivables, account reconciliations, and chargeback billing.
  • Conduct research and assemble and analyze data to prepare accurate presentations, reports, and documents as required.
  • Maintain accurate documentation and individual property documents for accounts.
  • File and retrieve documents and reference materials.
  • Arrange and coordinate meetings; Record and distribute meeting minutes.
  • Other duties and responsibilities as assigned.

On your resume, we ask that you demonstrate the following:

  • 3 - 5 years of previous administration experience; Experience in Commercial Real Estate would be considered an asset.
  • Post-secondary education in business administration preferred.
  • Proficiency computer skills and knowledge of relevant software including Microsoft Office applications (Excel, Outlook, Word, etc.); Experience with industry specific software such as Yardi, particularly the P2P module is strongly desired.
  • High-level of attention to detail, organization, and accuracy.
  • Excellent interpersonal and customer service skills, problem-solving and decision-making skills, and written and verbal communication skills.
  • Able to work under pressure in a fast-paced environment.

Core Hours and Working Conditions: Hopewell’s core hours are Monday to Friday from 8:00am to 5:00pm local time with 1 hour of flexibility on either end. Eligible to work from home one day per week following successful completion of the 90-day probationary period.
