Job Summary

Performs key purchasing responsibilities in a timely and accurate manner working independently on projects and is able to perform with minimal oversight (reports to Purchasing Manager) and is part of a Purchasing Team. May have up to one direct report. Is able to identify and resolve project issues and related risk.


  • Supports the Purchasing Manager/Team by independently managing the material and service procurement process for specific assigned projects including key project deliverables with little review/oversight from the manager (owner communication, contract execution, forecasting, issue resolution and successful project completion and closeout). Identifies and mitigates potential financial risks.

  • Works with vendors and contractors to ensure project schedule and budgets are achieved.

  • Supports achievement of Procurement Team Sales/Project volume goals by independently managing projects.

  • Owns customer relationship management with owners and owner reps for assigned projects.

  • May create project quotations, submit to clients for approval and obtains/executes sales contract.

  • Maintains strong knowledge of commodities (lead times, production scheduling and vendor capacity) as well as sourcing alternatives.

  • Reviews product specifications and ensure they meet/exceed the brand standards.

  • On assigned projects, functions as primary contact on more complex vendor/owner issues and disputes escalating major issues to purchasing manager.

  • Obtains appropriate design/drawing approvals, samples and seaming diagrams and ensure adherence to code requirements.

  • Reviews Bill of material changes as applicable on a project and ensures accuracy

  • Completes project closeout in a timely and accurate manner.

  • Complete sample rooms with project managers, designers and owners.

  • Provides attic stock recommendations and obtain owner/project manager approval.

  • Completes contracts with non approved vendors if applicable.

  • 4-year degree preferred or equivalent work experience within the industry.

  • Minimum 4 years' experience in procurement, preferably in the hospitality design industry.

JOB SUMMARY Supports Marriott headquarters, field employees, and Service Providers in the creation and fulfillment of purchase orders for technology within established service levels. Assists in educating on purchasing and asset process, validating Purchase Analyst work, process improvements. Contributes to projects that drive the overall success of the department. CANDIDATE PROFILE Education and Experience Required: * 5 years' work experience in information technology, finance, or general business administration areas. * Undergraduate degree or equivalent work experience. Preferred: * Strong organizational skills with an attention to detail. * Experience in defining/improving business processes. * Ability to concurrently navigate multiple tools sets and systems. * High degree of initiative and ability to work effectively in teams or independently. * Excellent customer, written and oral communication skills with an ability to deal effectively with all levels an organization. * Strong knowledge of Information Technology (IT) asset procurement. * Supervisory experience. CORE WORK ACTIVITIES Managing Communications * Actively monitors the technology hardware & software standards. * Assists in development of new processes which contribute to the effectiveness of the team, improves existing processes. * Provides telephone and e-mail support in the fulfillment of technology purchase requests. * Creates purchase orders and verifies that they are accurate and contain Marriott standard equipment. * Processes purchase orders and information requests within service levels using documented procedures. * Escalates all business critical issues and non-standard equipment requests to the Purchasing and Asset manager in a timely manner. * Utilizes documentation, resources and databases to make sure that purchase orders are accurate prior to submission. * Maintains effective relationships with hardware vendors, employees, internal customers related to assigned product portfolio and duties. * Participates as a project team member in defining and improving business processes. * Performs special assignments, projects and other duties as appropriate (e.g., PC Services etc.). * Monitors Order Desk phone queue and call volumes on a daily basis, escalating phone issues and outages to Telephone Operations, or Purchasing and Asset Manager. * Provides statistics as requested (call volume, abandoned calls, etc.). * Tracks and identifies procedure-related issues by identifying areas for improvement, holding quarterly meetings review procedures and recommendations and implementing enhancements to procedures. * Provides quarterly and ad-hoc purchase order data and call statistics for the Purchasing and Asset Manager and other employees as needed. Providing Leadership * Monitors Service Level Agreement (SLA) compliance. * Verifies that the Order Desk is staffed at all times between 8am-6pm, escalating to Manager immediately when the coverage requirement is not met. * Trains and monitors training progress of Analysts to facilitate full productivity within the first month on the job. * Mentors purchasing analysts and serves as the first level point of contact, providing guidance, answering questions, assisting with issue resolution, and handling escalations. * Maintains monthly Order Desk assignment schedule (voicemail, queue, e-mailbox, etc.). * Maintains the Order Desk queues and e-mail box (personal and group) within service levels using documented procedures on a regular basis. * Plans and implements (as Project Lead) medium scale, moderately complex or multiple smaller scale projects to project success. * Demonstrates an awareness of personal strengths and areas for improvement and acts independently to improve and increase skills and knowledge (business and technology). * Provides back-up coverage for the Purchasing Analyst and Purchasing and Asset manager when needed, including answering calls, attending meetings, resolving issues and responding to e-mails. * Manages customer expectations providing status updates and regular communications.
