Responsibilities & Qualifications of a Project Manager:

Builds and maintains a positive relationship with clientele through clear communication, follow-through, responsiveness, timeliness, and availability. Maintain a network of resources inside and outside the firm for collaborative approaches to unique scenarios and complex concepts.

Markets through contact with current and former clients and referrals to new clients through successful past projects.

Attends project meetings and site visits as requested by the client within contractual limitations. Coordinates the attendance of staff in the event of being unavailable.

Initiates, executes, and controls projects through all phases of planning, design, bid, and construction. This is accomplished by directing and monitoring daily staff activities. Examples of this are developing and presenting the project BOD (Basis of Design) to the project team, reviewing production status at appropriate milestones, monitoring scope changes and plan revisions during bid and construction, and more.

Organizes projects and files using Epic standards, checklists, structures, and procedures, ensuring the team does the same.

Possess a complete understanding of project scope, exclusions, assumptions, and limitations.

Meets or exceeds the KPIs established by the company leadership team for all projects by utilizing available staffing, scheduling, budgeting, timekeeping, and budget monitoring tools.

Holds regularly scheduled progress meetings to review that the project contract terms, conditions, and specifications are being met and staying within budgeted scope.

Reviews plans at appropriate milestones for timely delivery of a complete and accurate product to clients.

Coordinates and submits necessary documents and plans to relevant agencies for plan approval and permit readiness as required to meet the client’s schedule.

Informs the client of any out-of-scope requests or requirements and immediately discusses with their supervisor to determine if an ASRF (Add Service Request Form) is necessary. Prepares applicable ASRFs for review by supervisor.

Reviews draft invoices of all projects having WIP (Work In Progress) and submits to their supervisor on time for invoicing.

Build and maintain a cohesive team through clear and constant communication, positive relationships, follow-through, accountability, availability, and by example.

Identifies and develops staff abilities for advancement.

Conducts Quarterly Conversations and annual employee reviews of team members.

Takes disciplinary actions and implements a PIP (Performance Improvement Plan) when necessary.

Project Manager

KNOWLEDGE: Uses skills as a seasoned, experienced professional with a full understanding of industry practices and company policies and procedures; resolves a wide range of issues in imaginative as well as practical ways. Reviews and possesses good knowledge of the project’s contract terms and conditions.

JOB COMPLEXITY: Works on fundamental problems and projects of diverse scope. Exercises good judgment in selecting appropriate methods and techniques for obtaining solutions. Interacts with senior internal and external personnel, often involving coordination among groups. Provides direction to designers and develops them to become project managers. Participates in or co-directs various committees to help keep the company at the forefront of the industry.

SUPERVISION: Normally receives little instruction on day-to-day work, coordinates with project director on new assignments, coordinates with the project director and engineer on complex issues.

EXPERIENCE: Typically requires a minimum of 10+ years of drafting and design experience, has completed formal project management training. Related Bachelor’s Degree is recommended.

Senior Project Manager

KNOWLEDGE: In addition to the above, understands and possesses a complete understanding of project’s contract terms and conditions.

JOB COMPLEXITY: In addition to the above, a Senior Project Manager exercises independent judgment in methods and techniques to obtain results. Prepares project managers in training for advancement. Serves as a consultant to management and acts as an external spokesperson for the organization. Contributes to developing company objectives and principles by leading various committees and presenting creative concepts to senior management.

SUPERVISION: Independently determines methods and procedures for completing new or unique assignments, reports solutions & decisions to project director and engineer for approval.

EXPERIENCE: Typically requires a minimum of 15+ years of related experience with a minimum of 5 years experience managing a design team. Related bachelor’s degree recommended.
