Job Overview:

We are seeking an accomplished Project Manager to join our Project Management Services team. In this role, you will play a pivotal part in overseeing and executing projects aimed at enhancing the quality of life and services for the communities we serve.

The ideal candidate will possess a strong project management background, exceptional leadership and communication skills, and an understanding of community management principles and practices.

Compensation: $75-85k

FirstService Residential will compensate the successful candidate in accordance with the posted range. The salary or wage paid to the successful candidate will be commensurate with experience, education, and specific job responsibilities. For positions designated at a client's property, the salary or wage will also be premised upon the client's directive. The base pay range is subject to change and may be modified in the future.

Job Responsibilities:

  • Project Planning and Execution:

  • Develop comprehensive project plans, defining objectives, timelines, resources, and budget requirements.

  • Lead and facilitate project kick-off meetings, ensuring clear communication of project goals and expectations.

  • Oversee project execution, monitoring progress, and making adjustments as necessary to ensure on-time and on-budget completion.

  • Team Leadership:

  • Build, lead, and motivate cross-functional project teams, including internal staff and external contractors or vendors.

  • Delegate tasks and responsibilities, ensuring that team members understand their roles and are aligned with project objectives.

  • Provide guidance and support to team members, resolving conflicts or issues that may arise during project execution.

  • Stakeholder Communication:

  • Serve as the primary point of contact for all project-related communications with HOA board members, homeowners, and other stakeholders.

  • Maintain transparent and effective communication, keeping stakeholders informed about project progress and addressing any concerns or inquiries.

  • Budget and Resource Management:

  • Develop and manage project budgets, ensuring that expenditures stay within approved limits.

  • Allocate and optimize resources effectively to meet project goals while minimizing waste or inefficiencies.

  • Risk Management:

  • Identify potential project risks and develop mitigation strategies to minimize disruptions and delays.

  • Proactively assess and address issues that may impact the successful completion of projects.

  • Documentation and Reporting:

  • Maintain thorough project documentation, including project plans, status reports, and meeting minutes.

  • Generate regular progress reports for both internal and external stakeholders.

  • Coordination with Public and Private Agencies:

  • Establish and maintain relationships with relevant public and private agencies.

  • Ensure compliance with regulations and requirements set forth by these agencies.

  • Coordinate project approvals, permits, and inspections in collaboration with these agencies.

  • Quality Control:

  • Implement quality control processes to ensure that project deliverables meet the specified standards and expectations.

Skills & Qualifications:

  • Problem-solving and critical thinking skills, with the ability to proactively address project issues.

  • Strong organizational and time management skills, ensuring projects are completed efficiently.

  • Knowledge of HOA industry regulations and best practices is a plus.

  • Attracts and retains diverse, high caliber talent, while developing an engaged team to build the capabilities required for the organization to perform at high levels.

  • Clearly communicates and holds self and others accountable by owning issues, solving problems and continuously seeking and providing feedback, regardless of source.

  • Manage the hiring and performance of vendors while ensuring compliance with FirstService Residential's policies and procedures including ongoing Vive certification.

  • Write, create, effectively communicate, and implement guidelines and procedures in support of policies, culture, and operational needs.

  • Proactively manage the ongoing adherence to all guidelines and procedures implemented.

  • Seek to use environmentally sustainable materials, processes, tools and supplies.

  • Perform or assist with any operations as required to maintain workflow and to meet schedules.

  • May participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems and maintain specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelines.

  • Ensure all safety precautions are followed while performing the work.

  • Follow all policies and Standard Operating Procedures as instructed by Management.

  • Perform any range of special projects, tasks and other related duties as assigned.

  • Provide regular updates and reports to designated management team contact(s).

  • Other projects and opportunities as may be deemed necessary and appropriate for this position.

Education & Experience:

  • Bachelor's degree in a relevant field (e.g., Project Management, Business Administration, Engineering, Construction Management, Communications) is preferred.

  • Proven experience in project management, with a track record of successfully managing projects in the HOA industry or a related field.

  • PMP certification is a plus.

Physical Requirements & Working Environment:

The physical demands described here are representative of those that must be met by an associate to successfully perform the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

  • Must be able to lift 50 lbs.

  • Must have finger dexterity for typing/using a keyboard.

  • Work is performed in a variety of environmental conditions, with exposure to outdoor temperatures, weather variations, traffic and equipment noise, equipment vibrations, vehicle and/or chemical fumes, chemicals such as cleaning solvents and grease, machinery and their moving parts and dust.

  • Work duties may require the ability to stand or walk on hard surfaces for frequent and prolonged periods of time.

  • Must be able to respond to requests and communicate to staff, coworkers, clients, and vendors.

  • Consistent and regular attendance required.

  • Some exposure to dust and noise.

  • Some heavy lifting, standing, climbing.

Hours over and above normal office hours will occur, including evenings, holidays, and some weekends. Schedule is subject to change based on business needs.

Tools & Equipment Used:

  • General office equipment.

  • Valid California State Driver's License and state mandated insurance.

  • Tools and software common to the project management industry.

  • Trello, management software.

Supervisory Responsibilities:

  • Supervise coordinator and administrative positions.

Travel:

Job may require travel throughout our operational areas and different regions of the West Region including, but not limited to California, Nevada, and Arizona. This position requires travel to project sites, as well as regular meetings with clients.
