Position Summary:
The Project Manager manages and co-ordinates across all technical and service aspects of a project. This will range from initial discussions with clients, development of the project requirements, documentation aspects of setting up the project and management of all project related activities through to study completion. Project Managers act in a consultative role to offer clients solutions to complex projects and services and will collaborate and coordinate internal teams to meet client expectations as well as company goals.

Responsibilities:

  • Manages the delivery of all technical and service aspects of projects and studies for clients.

  • Determines the preliminary design of the study and evaluates and understands the study.

  • Serves as the internal link within the company and will have direct contact with all internal departments and direct one on one contact with external customers.

  • Initiates the involvement of appropriate departments, maintaining continuous communication with those departments, and ensures the work delivered to customers is of a consistently high standard.

  • Attends Project Meetings at the business or customer site. Leads and represents the business at kick off meetings as required by the customer.

  • Leads and facilitates customer teleconferences, visits and audits as required, and provides timely provision of customer reports and updates.

  • Interacts with Quality Assurance/Regulatory personnel to drive Problem Reports to closure.

  • Ensures customer needs are properly translated into quotation, and has responsibility to monitor and amend the quote and budget as required.

  • Provides accurate and timely financial forecasting and reporting.

  • Responsible for revenue recognition for projects and verifies final information for Accounting Department prior to invoices release.

  • Participates in cross-functional business process improvement activities as required.

  • Works closely together with the account manager to gain overall customer satisfaction.

  • Applies Good Manufacturing Principles in all areas of responsibility.

  • Demonstrates and promotes the company vision.

Key Global Project Lead (GPL) responsibilities (if applicable):

  • Manages and leads operational aspects of large scale projects with the client and project management teams to ensure timely, coordinated risk mitigated delivery of projects and services.

  • Serves as the Central Point of Contact for the customer at a project and/or program level.

  • Defines joint project goals and objectives with the client.

  • Provides end to end project management globally and cross-functionally across all services and is accountable for project delivery.

  • Acts as the point of escalation and coordination for the customer and the project team members ensuring appropriate issue identification, resolution and risk management.

  • Defines and tracks metrics; maintains unified Dashboards and reports on global project / program progress.

  • Provides global financial information (forecast revenue, reporting).

  • Leads project close out activities.

Minimum Qualifications:

  • Requires understanding and competent use of SOPs required by company Quality standards.

  • Requires excellent organizational, planning, verbal, written and numerical skills with the ability to analyze and define solutions and manage multiple tasks to meet strict deadlines.

  • Requires strong and effective communicator with the ability to effectively present information and respond to questions from groups of managers and clients.

  • Requires ability to develop strong customer management skills; proactively anticipates, understands, and responds to the needs of clients to meet or exceed their expectations.

  • Requires knowledge of all internal systems associated with projects (i.e. Salesforce, Master Control Trackwise, IN-TRAK II and GPM, if applicable per site).

Education/ Experience:

  • Requires accredited college, university or recognized professional degree, preferably in a health related field. Prefer advanced degree in a health related field.

  • Requires 3 years of successful experience in clinical trial project management as an Associate Project Manager or Project Manager.

  • Requires in depth understanding of clinical trials.

  • Requires strong interpersonal and communication skills to include excellent relationship building.

  • Requires proficiency in personal computer applications (e.g. Microsoft Word, Excel, PowerPoint, Access, and Outlook).

  • Requires proven experience with customers in a dynamic environment.

  • Requires excellent communication, organizational skills and project co-ordination skills.

Preferred Qualifications:

  • Prefer proficiency in appropriate project planning tools e.g. Microsoft Project to communicate milestones and critical path activities and responsibilities.

  • Mastery of basic Project Management concepts as a recognized institution in project

management.


Work Conditions/Physical

Requirements:
  • Some locations require ability to work, on occasion, in a cold environment with exposure to dry ice, liquid nitrogen cryogenics, hazardous and infectious agents, marked changes in temperature.

  • Must be able to lift and carry up to 50 lbs., on occasion.

  • Must be able to use a computer up to 8 hours per day.

  • 0 - 25% Travel, as needed.

Responsible for the revenue cycle management of Clinical Trial related patient care from proper budgeting and coverage analysis, compliant clinical trial patient care billing, to timely and accurate sponsor invoicing. Provides leadership for and supports the Lifecycle management of the Oncore clinical trials management system and and integration with Power Trials within the Cerner EMR. Minimum Education Bachelor's Degree - business, finance, accounting, healthcare administration, public health or biological science. (Required) Master's Degree - in a helathcare related field (Preferred) Minimum Work Experience 5 years - Experienced research administrator in a progressive academic healthcare system. Experience administerinig clinical trials including coverage analysis, research patient care billing and invoicing. Expereince with research asnd financial management IT systems including clinical trials management system. Previous people management experience. . Required Skills/Knowledge Knowledge of state and federal policies, laws and regulations that govern research. Knowledge of complex information systems used to manage research finance and administration. In depth understanding of medical terminology and ability to apply knowledge in research administration setting. Ability to manage competing priorities, timelines and deadlines successfully. Functional Accountabilities Resarch Revenue Cycle 1. Leads the compliant research revenue cycle process leveraging Cerner revenue Cycle, Pwer Trials and OnCore CTMS systems 2. Ensure patient billing is consistent with clincal trial agreement, coverage analysis and informed consent and that charges have been appropriately allocated to research study versus third party payers. 3. Lead in the reconciliation of clinical trial accounts within Cerner Revenue Cycle and OnCore CTMS in collaboration with business operations and revenue cycle teams. 4. Lead monitor and audit process of ongoing clinical trials for accuracy and compliance with applicable policies, regulations and laws. Prepare reports to leadershipoutlining findings, concerns, and trends. 5. Act as a system resource in patient care billing compliance for research, providing training and education as needed. 6. Develops internal policies, procedures and job aides as needed. 7. Ensures accurate and timly clinical trial invoicing. Invoice all clinical trials consistent with contract terms. Research System Management 1. Supports the lifecycle management of the OnCore CTMS and Cerner Revenue Cycle and Power Trials operations. Lead staff responsible for day to day operations 2. Identifies improvements in workflows and systems to make recommendations to enhance use of Oncore and Power Trials. 3. Assist in the development of reports required by investigators and leadership from Oncore Provides repors to users as needed. 4. Work with vendor for implementation of upgrades, fixes and regular maintenance of the system including testing. Leads in roll out of upgrades and new functionality. 5. Updates processes and workflows as needed 6. Leads in the routine quality assurance of data within CTMS and Power Trials systems 7. Responsible for protocol calendar management for CTMS and Power Trials including amendments and updates 8. Seeks regular feedback on systems functionality with end users and facilitates requires for improvements with vendor. Leadership and Training 1. Act as an institutional resource in patient care budgeting, billing and invocing compliance, providing training and education as needed. 2. Develop internal policies, procedures and job aides for all aspects of clinical trials revenue cycle including budgeting, billing and invoicing. 3. Acts as the institutional resource for Oncore CTMS and Cerner Power Trials. 4. Creates and maintains training materials for Oncore CTMS and Cerner Power Trials. Participates in the training of new users. 5. Leads in the indentification and roll out of new functionality within Oncore and Power Trials 6. Provides supervision Clinical Trials Revenue Cycle and Systems team. Participates in the day to day management, recruitment and hiring of staff.
