Job Description:
The Project Manager is a member of the Finance & Administrative Services team within the University, reporting directly to the Director of the Internal Consulting Group. The Project Manager will work with business units across the Executive Vice President for Finance and Administration's office to create a holistic inventory of all active projects and projects in queue within each unit including associated timelines, costs, and the units' sense of priority. The full project list will be reviewed and updated routinely with the EVP's leadership group for prioritization and feedback. The Project Manager will manage prioritized projects, for units that don't have support or that need additional support, including scoping and building business requirements, constructing and monitoring project plans, raising and resolving issues, and bringing identified projects to an operationalized state.
The project management function should bring transparency and clarity to the projects occurring within the Finance and Administration group, improve tracking and managing to targeted timelines, and identify projects that have a relation to one another.
Major Responsibility: Manages the Finance and Administration project inventory and sub
Supporting Actions:
Creates and owns a holistic central project inventory, their sub schedules, and projects in queue
Meets regularly with project partners to gather requirements, timelines, and key considerations
Develops project plans and timelines; maintains documentation and ensures that project teams are adhering to the agreed upon scope and timeline and/or communicating issues
Ensures that projects meet budgetary, scheduling, and quality requirements
Gathers project team and stakeholders to help identify and define problems, generate solutions or evaluate alternatives and implement
Informs budget process through project change requests post project approval
Major Responsibility: Leads regular updates to project sponsors and Executive leadership team
Support Actions:
Leads presentations to Executive leadership group, communicating project performance and issues
Provides recommendations on projects that should be prioritized
Manages and incorporates feedback received from Executive Leadership team
Major Responsibility: Manages a multi-year project timeline
Supporting Actions:
Creates and manages a multi-year project timeline incorporating recommendations and feedback from project sponsors and the Executive Leadership team
Communicate the multi-year timeline with key stakeholders
Builds shared reporting, data visualizations and executive dashboarding
Job Competencies
Knowledge and demonstrated experience utilizing of project management tools
Demonstrated experience managing projects including scoping and building business requirements, constructing and monitoring project plans, and bringing identified projects to an operationalized state
Creates, manages, and distributes project communications
A demonstrated knowledge and understanding of project management principles and methodologies and successful implementation of projects in a complex organization
Business analysis and process improvement skills
Exceptional communication skills, both written and oral, to a diverse audience, including active listening skills
Excellent interpersonal, facilitation, collaboration and customer service skills
Ability to work efficiently at all levels of the organization and influence others to progress toward a shared vision or goal
Excellent analytic, problem-solving and root-cause identification skills
Ability to balance attention to detail while maintaining focus on the big picture
Education and Experience
Bachelor's degree required, preferably with a concentration in project management or related field
3-5 or more years of experience in project management or related field
Should have, or agree to obtaining within a certain agreed upon timeframe, a best in class project management certification(s) or degree and bring best practices and a standardized approach to the office.
Experience identifying inefficiencies and recommending solutions
Demonstrated ability to synthesize information for multiple audiences. Must demonstrate excellent written and oral communication skills.
Ability to manage multiple high priority initiatives in a fast-paced environment to meet critical deadlines.
Attention to detail, superb organization skills, and strong sense of ownership required.
Able to work independently and within small and large teams.
Demonstrated ability to support a community of diverse perspectives and cultures in an inclusive environment.
