Your Opportunity

Our Visioning, Brand and Experiences group in Boulder, CO works on some of the most exciting and unique projects around the world. Extending to 27 countries and virtually every city in the US and Canada, our team success in the retail, mixed-use, urban, corporate workplace and hospitality industries. We produce branded experiences and combine all aspects of a project to create an award-winning result.

In this part-time (20-hours/week) role, you will assist the Project Manager with the financial and management responsibilities to successfully execute these groundbreaking projects.

Your Key PMA Responsibilities

The following are typical responsibilities that may be assigned to the PMA by the PM. Other responsibilities may arise depending on the project-specific scope of work and/or changes in project-specific needs.

  • Weekly review of project charges.

  • Weekly review of task budgets.

  • Review accounts receivable status and address with client if needed.

  • Update Earned Value Analysis (EVA).

  • Clear/address any provisions.

  • Facilitate invoicing process by reviewing billing reports (UDRs/TBRs) and coordinating with the PM to finalize invoices.

  • Coordinate with subcontractors by executing agreements, change orders, managing budgets, invoicing, and payment.

  • Assist in preparing change order requests.

  • Compile and maintain project task list and communicate to project team when changes occur.

  • Prepare and maintain project team contact list, which includes client team members, Stantec team members, and project subcontractors.

  • Assist with weekly and longer-term project scheduling.

  • Follow Project Management Framework.

Your Key Administrative Duties

  • Onboard new employees

  • Assist with travel arrangements and expense report generation for Sr. Principal.

  • Track and order coffee, kitchen, and office supplies (online delivery site and online Staples).

  • Be generally available for incoming visitors and clients, light management of client meetings such as ordering lunch.

  • Receive calls that are not handled by the automated receptionist recording (light duty).

  • Other administrative duties as needed.

  • Flexibility to learn new skills.

  • Proficiency in MS Office Suite.

  • InDesign, Adobe Suite knowledge beneficial.

Education and Experience

High School Diploma with minimum of 2-3 years experience; or post-secondary degree in related field; or equivalent combination of education and experience.

Typical office environment working with computers and remaining sedentary for long periods of time. Field work may include exposure to the elements including inclement weather.
