The Project Manager Assistant must be a well-organized and detail oriented individual, capable of scheduling and performing multiple tasks associated with supporting the Project Managers and Estimators. Duties associated with this role include, but are not limited to assistance with and documentation of the estimating and bid process, setup, receipt, filing, and maintenance of project related documentation, status monitoring of project related subcontracts and major purchase orders, and administrative closeout of projects.
Job functions and duties (other duties may be assigned)
Communicate effectively with other team members concerning project management and estimating process.
Assist with the estimating process, including receiving documents, documenting addenda, tracking bid requests, bid submission, and filing bid results including audit file copies where applicable
Assist with developing and submitting prequalification documentation, when requested
Responsible for general administrative functions to support the project management and estimating process.
Receive, document, and monitor the status of contracts and subcontracts
Assist the PM in the organization and setup of projects, project files, and project logs.
Assist in the submittal process
Assist with the issuing of subcontracts when required, and the tracking of major equipment purchase orders
Assist with development of delivery tracking information and documentation.
Provide assistance to insure there is detailed and organized documentation of every aspect of the project.
Assist with the submission and tracking of change-order and information requests for the project.
Assist with the development and timely submission of closeout documentation for the project.
Develop and maintain overall project tracking summary information, for use by the Sr. Project Manager and President in tracking project status.
Records relevant correspondence and issues, relevant meetings minutes and other conversations.
Coordinates with various staff for accurate and timely recording of daily reports
Follows up with customers to obtain missing contracts and/or subcontracts and associated documentation.
Assists with communication to customers regarding project status.
Responsible for generating, interpreting and printing various assigned reports.
Cover front-desk phone answering position during regular personnel's lunch period. Such coverage can be assigned to other personnel when required to perform critical PM assistant duties, but must be scheduled and approved in a timely and advance manner through Sr. Project Manager.
Perform additional assignments as directed by supervision.
