Piper Jaffray is currently seeking a Technology Invoice Analyst to join their Project Management team in Minneapolis.

This role provides invoice analysis, processing and reporting on technology expenditures for our Client Services Groups (CSG) and multiple business areas.

Responsibilities

  • Responsible for accurate and timely processing of technology invoices and the timely creation and processing of purchase order transactions

  • Manages the preparation of various monthly reports and designs and creates other ad hoc reports as assigned or requested

  • Researches and resolves various invoice or purchase order processing issues by working with technology resources, business line partners and external vendors

  • Ensures questions from both internal and external customers are researched and resolved in a timely manner

  • Develops and maintains spreadsheets and analysis for a variety of purposes including cost allocations, spend metrics, reports, budgets and forecasts

  • Identifies, tracks and calculates expenses, charges and costs; recommends the most equitable allocation of expenses

  • Identifies expenses and processes month end accruals and chargebacks

  • Maintains appropriate documentation required for daily job functions and ensures historical retention of appropriate payment information required for compliance purposes

  • Participates in or assists with other special projects as assigned or requested by Project Management Office and other technology or business line partners

  • Participates in the design and implementation of accounting systems relative to invoice or purchasing order processing

Requirements

  • Bachelor's degree required, accounting or finance majors preferred

  • 3 - 5 years of related experience

  • Advanced user of MS Office Suite particularly Microsoft Excel

  • Strong attention to detail

  • Ability to multitask

Drives performance, fosters collaboration, and maintains compliance to maximize operational efficiency. Expectations Must be proactive, self-directed, highly motivated, and possess organizational skills, including multitasking and time management in order to manage multiple projects simultaneously. Ability to work with and communicate effectively with team members, site team, external vendors and consultants. Provided with parameters but not explicit instructions. Instrumental in devising solutions. Able to comprehend complex issues and provide suggestions for problem-solving. Requires very little supervision and is self-directed the majority of the time. Able to prioritize and set deadlines. Essential Duties and Responsibilities include the following. Other duties may be assigned. This description is not an exhaustive list of duties, responsibilities, knowledge, skills, abilities, and working conditions associated with this position. * Responsible for coordinating cross-collaborative projects and initiatives to support increased effectiveness of property management procedures across IRET's portfolio. * Works closely with Senior Vice President – Operations, Senior Vice president – Asset Management & Operations Support and Director of Maintenance and Capital Projects. * Facilitates, monitors and evaluates the quality, compliance and effectiveness of operations and maintenance policies and procedures. * Plans, designs and executes multiple operations and maintenance projects, from conception to completion, to meet program requirements, budget and time restraints. * Ensures quality and compliance in operations and maintenance policies and procedures. * Collaborates with Operations, Asset Management, Maintenance, IT, Accounting, Human Resources and Training departments and supervisors to plan, design and execute software projects from conception to completion, to meet program requirements, budget, and time restraints. * Works closely with operations, asset management and maintenance staff to develop and effectively roll-out policies and procedures to property staff. * Facilitates, monitors and evaluates IRET's insurance claims process. * Coordinates and directs project managers, regional directors and community leaders in the capital expenditures process from start to finish. * Maintains effective contract management, including writing, issuing and documenting project contracts. * Collaborates with accounting, operations and maintenance staff to ensure vendor compliance and effective work order and purchase order procedures. * Conducts regular inspections to identify progress, evaluate efficiency and/or provide solutions for increased effectiveness of operations and maintenance procedures. * Contributes to and supports a variety of operations, asset management and maintenance initiatives as needed. * Reviews vendor agreements, negotiates and communicates with external vendors as needed to ensure compliance with established agreements. * Prepares internal and external reports pertaining to project status and ensures the successful execution of projects within project specifications. * Establishes timelines, action plans and benchmarks and reviews project progress on a daily basis to meet organizational conditions of performance. * Plans ahead to prevent problems and resolves problems that do emerge. * Becomes familiar with and abides by all company policies, procedures, and individual community policies, including but not limited to all Fair Housing Laws. Travel May be required to travel. Equipment Issued Standard computer and laptop package. Expected to carry a mobile phone, but eligible for a monthly reimbursement according to company policy.
