Overview

Organizing and tracking of all documentation, correspondence, and analysis related to execution of new equipment orders and projects. Offers general administration support to Project Management team.

Responsibilities

Essential Duties and Percent of Time Spent:

Coordinates and controls all technical documentation and project correspondence, identifies action items and distributes to appropriate team members for response and follow-up. Tracks all incoming and outgoing correspondence related to the project to ensure response to all inquiries and that communication are successful and that the projects are being inbounded in alignment with established procedures.

Prepares / executes change orders, tracks, follows-up, and maintains documentation as required. Conducts research from files to support change order negotiation for commercial and technical issues. Prepares back-up documentation in support of contractual or dispute resolution

Coordinates finished goods inventory, including equipment ordered for stock and / or put on loan, trial, rent, lease, etc. and supports coordination and communication of monthly shipment forecast.

Coordinates with finance team to ensure compliance with corporate revenue recognition requirements. Manages lists of documentation requirements for all projects and supports Project Managers compliance and forecasting.

Support Project Performance Manager in resolution of systemic issues identified by Project Managers. Drive initiative to closure as assigned. When necessary guide internal or external customers and suppliers to the appropriate personnel to meet their needs and requirements based on detailed knowledge of process flows, roles and responsibilities, and overall order process value stream.

Qualifications

Knowledge and Skills:

Associate's degree (A.A.) or equivalent from two-year College preferred

  • Strong interpersonal skills required to effectively communicate to customers and coworkers

  • Ability to analyze, prioritize, and execute tasks independently, with little or no supervision

  • Excellent organizational and time management skills. Must handle multiple tasks, large amounts of data, short deadlines, meticulous attention to details and accuracy, and a fast-paced environment

  • Proficient PC skills in MS Office products (Microsoft Word, Excel Spreadsheets, PowerPoint, Outlook, etc.)

  • Ability to comprehend price list applications, margin calculations, and costing tools

  • Ability to write detailed correspondence, reports, and letters

Experience:

Three - five years' experience with JBT equipment, processes, specifications, and customer expectations preferred.

Upon successful completion of the training program, Shift Supervisor Trainees are eligible to be considered for promotion to open Operations Supervisor or Shift Supervisor positions. These key leadership roles support the CVS Store Management team in driving store execution and performance while building consumer loyalty to CVS/pharmacy through a focus on excellent customer service. When there is no manager onsite, the Operations Supervisor or Shift Supervisor leads the store staff, ensures that store operations run smoothly, and is responsible for ensuring the completion of all opening and closing procedures.
