Job Description

Searching for an energetic operational support professional who enjoys wearing multiple hats to manage our busy branch office! If you are a reliable, well-organized person who can handle day-to-day operations with a focus on efficiency and time management, we want to talk to you!

You will be responsible for a variety of tasks from the compliance of purchasing, accounting, credit/collections, IT and overall administrative requirements, to the effective handling of Human Resources administration and employee relations programs.

Here is a glimpse of what you will do:

  • Effectively communicate & manages correspondences, phone calls, text, and emails from internal and external customers.

  • Initiates jobs and tasks in accounting and service management software.

  • Ensures a high level of customer satisfaction and customer service.

  • Responsible for the timely, and accurate execution of tasks assigned by the Division Manager, Production Manager, Project Managers, Commercial Business Manager.

  • Assists in billing and record retention filings.

  • Maintains project files and documents and provides any information needed.

  • Provide basic project status reporting and respond to requests for service, assistance, and information for internal and external customers.

  • Prepare contract documents for signature as needed.

  • Ensures proper entry of data into operating system.

  • Procure quotes from vendors for procurement and bidding purposes.

  • Understanding drawings and plans and prepare for sets for field use.

  • Manage & maintain construction schedules.

  • Process and manage RFI's, Submittals, and Changer Orders.

  • Create meeting agendas and record meeting minutes.

  • Create Schedule of Values (SOV) for projects.

  • Process close out documents for clients and owners.

  • Help record and maintain As-Builts as needed.

Here is some of what you will need (required):

  • Previous experience in administrative services or other related fields

  • Detail-oriented with the ability to prioritize and manage a variety of tasks

  • Strong leadership qualities

  • Must be a min of 18 years of age and have a valid Driver's License

  • Clear Post Offer Drug Screen

  • Bilingual English/Spanish preferred
