Job Description
Searching for an energetic operational support professional who enjoys wearing multiple hats to manage our busy branch office! If you are a reliable, well-organized person who can handle day-to-day operations with a focus on efficiency and time management, we want to talk to you!
You will be responsible for a variety of tasks from the compliance of purchasing, accounting, credit/collections, IT and overall administrative requirements, to the effective handling of Human Resources administration and employee relations programs.
Here is a glimpse of what you will do:
Effectively communicate & manages correspondences, phone calls, text, and emails from internal and external customers.
Initiates jobs and tasks in accounting and service management software.
Ensures a high level of customer satisfaction and customer service.
Responsible for the timely, and accurate execution of tasks assigned by the Division Manager, Production Manager, Project Managers, Commercial Business Manager.
Assists in billing and record retention filings.
Maintains project files and documents and provides any information needed.
Provide basic project status reporting and respond to requests for service, assistance, and information for internal and external customers.
Prepare contract documents for signature as needed.
Ensures proper entry of data into operating system.
Procure quotes from vendors for procurement and bidding purposes.
Understanding drawings and plans and prepare for sets for field use.
Manage & maintain construction schedules.
Process and manage RFI's, Submittals, and Changer Orders.
Create meeting agendas and record meeting minutes.
Create Schedule of Values (SOV) for projects.
Process close out documents for clients and owners.
Help record and maintain As-Builts as needed.
Here is some of what you will need (required):
Previous experience in administrative services or other related fields
Detail-oriented with the ability to prioritize and manage a variety of tasks
Strong leadership qualities
Must be a min of 18 years of age and have a valid Driver's License
Clear Post Offer Drug Screen
Bilingual English/Spanish preferred
