Welligent, a fast-growing Electronic Health Record (EHR) software vendor, is seeking a responsible Project Coordinator to administer and organize the customer EHR implementation lifecycle, from simple activities to more complex plans.

As part of Welligents Implementation Department, the Project Coordinator shall serve as the primary customer point of contact and responsibilities include preparation of comprehensive action plans, including resources, timeframes and budgets for projects. You will perform various coordinating tasks, like schedule and risk management, along with administrative duties, like maintaining project documentation, customer invoicing and handling project queries. You will provide coordination and monitoring of customer discovery, gap analysis, business analysis, configuration and knowledge transfer for Welligent Implementations. To succeed in this role, you should have excellent time management and communication skills, as youll collaborate with clients and internal teams to deliver results on deadlines. Ultimately, the Project Coordinators duties are to ensure that all projects are completed on time, within budget and meet high quality standards.

Responsible for working with Implementation Leadership and Application Analysts to coordinate the efforts of team members to deliver projects according to plan. Upon completion of the implementation, the Project Coordinator is responsible for closing the project and coordinating the transfer to Welligent Support. Where necessary, responsible for escalating issues when they arise through defined escalation protocols. While Project Coordinators are not expected to become experts on Welligents software/services, they must build a baseline working knowledge within 6 months.


  • Following Welligents implementation process and procedures, coordinate the efficient and successful implementation of all assigned customer projects
  • Primary customer point of contact responsible for following defined project management processes including project plan development, task/timeline development, monitoring and completion, customer invoicing throughout the project
  • Coordination and monitoring of customer discovery, gap analysis, business analysis, configuration and knowledge transfer for Welligent Implementations
  • Responsible for the customer success and satisfaction with the Welligent software implementation process
  • Responsible for personal time management and recording of individual direct and indirect time and activities for projects using the Welligent Portal
  • Responsible for reporting consolidated project status to the customer on project activities including regular status reporting on assigned customer projects
  • Possess baseline working knowledge of Welligent software products and actively stay current with all software enhancements
  • Establish and maintain quality relationships with Welligent Customers and all Welligent departments to support achieving the Implementation Teams goal to successfully implement customers in a reasonable and achievable timeline
  • Liaise with clients and Application Analysts to identify and define requirements, scope and objectives
  • Break projects into doable actions and set timeframes
  • Assign tasks to internal teams and assist with schedule management
  • Make sure that clients needs are met as projects evolve
  • Help prepare budgets
  • Analyze risks and opportunities
  • Monitor project progress and handle any issues that arise
  • Act as the point of contact and communicate project status to all participants
  • Use tools to monitor working hours, plans and expenditures
  • Create and maintain comprehensive project documentation, plans and reports
  • Ensure standards and requirements are met through conducting quality assurance tests
  • 25% travel required


  • Bachelors degree required
  • Proven work experience as a Project Coordinator or similar role
  • Experience in project management, from conception to delivery
  • An ability to prepare and interpret flowcharts, schedules and step-by-step action plans
  • Excellent analytical, planning, and organizational skills, ability to work on multiple tasks/projects simultaneously
  • Solid organizational skills, including multitasking and time-management
  • Strong client-facing and teamwork skills
  • Excellent communication and written skills utilizing various media and methods for communication
  • Familiarity with risk management and quality assurance control
  • Strong working knowledge of Microsoft Project, Microsoft Planner and Microsoft Teams
  • Experience with business productivity software (eg, Microsoft Office suite)
  • 2+ years of software implementation experience
  • EHR/EMR software implementation experience preferred
  • Agile/Scrum experience a plus
  • PMP / PRINCE2 certification is a plus
